Position Summary: We are seeking a dynamic and dedicated Receptionist to join our client's program enforcement team. The ideal candidate will be the first point of contact for visitors, providing a warm and professional welcome and directing them to appropriate meetings, to fill out appropriate forms, or redirecting to alternate venues. Working with the public, this role requires someone who can balance firmness and care, ensuring all interactions are handled with exceptional customer service while maintaining office protocols and procedures. Great opportunity for someone who is looking to transition retail, hospitality, or security experience into a corporate setting.

Key Responsibilities:

Visitor Engagement:Greet and welcome visitors with a friendly and professional demeanor.Assist visitors with inquiries, directing them to the appropriate staff or resources.Ensure all visitors sign in and follow office security protocols.Administrative Support:Follow up on paperwork resulting from meetings, ensuring all documents are complete and submitted in a timely manner.Enter data accurately into multiple systems, maintaining confidentiality and data integrity.Manage incoming and outgoing mail, as well as office supplies inventory.Customer Service:Provide strong customer service by addressing visitor and resident concerns promptly and effectively.Handle difficult situations with a firm yet caring approach, ensuring all parties feel heard and respected.Coordinate with other departments to resolve issues and provide comprehensive support to visitors and residents.Office Coordination:Maintain a clean and organized reception area.Schedule appointments and manage meeting room bookings.

Qualifications:

High school diploma or equivalent; education in social services or nonprofit administration is a plus.Proven experience in a customer-facing role working with the general public.Proficient in MS Office and comfortable learning new software systems.Excellent communication and interpersonal skills.Strong organizational skills and attention to detail.Ability to remain calm and professional under pressure.Firm yet compassionate approach to handling difficult situations.
