Summary:
As the main welcoming face of NEO Tech, the Office Administrator will be responsible for all duties relating to the front desk, provide general office support, and provide administration support as necessary.
An important consideration is professional communication, demeanor and appearance.
Essential Duties and Responsibilities:
+ Welcome onsite visitors, determine nature of business and announce visitors to appropriate personnel.
+ Answer questions about the organization and provide callers with address, directions and other information.
+ Monitor visitor access and issue badges as required per Company policy.
+ Interact professionally with customers, vendors and employees at all levels within the organization.
+ Enhance and develop office administrative tools and resources to improve communication and organizational efficiency of the site.
+ Comply with all in-house training as identified in job specific family and or specific training plan.
+ Support all corporate and site 6S objectives.
+ Manage office supplies and the ordering of perishable materials as needed.
+ Maintain accurate records, including invoices, contracts, and employee documentation.
+ Receive, sort and route mail and packages.
+ Answer incoming telephone calls; determine purposes of callers and forward calls to appropriate personnel or department.
+ Take and deliver messages when appropriate personnel are unavailable.
+ Assist in onboarding new team members, creating a welcoming and supportive experience.
+ Perform administrative duties as needed.
Qualifications
Job Knowledge, Skills & Abilities:
+ Proficiency in office tools and software, including MS Office (Outlook, Word, PowerPoint, Excel).
+ Ability to adapt to changing priorities while maintaining attention to detail.
+ Ability to prioritize and perform high level serial tasking.
+ Must be reliable, resourceful and flexible.
+ A proactive mindset with a strong focus on inclusivity and creating a positive team culture.
+ Excellent verbal and written communication skills.
+ Ability to handle difficult call situations and strong personalities.
+ Punctuality and good attendance critical for position.
+ Previous customer service interface experience.
Additional requirements:
+ Have a valid driver's license and car to be able to help with administrative driving duties within a short radius.
+ Must be able to lift/move approximately 25 pounds.
+ A high school diploma or equivalent is required; an associate degree in a related field is preferred.
