Job Description

SUMMARY:

Reporting to the Director of Athletics/Sr. Associate Dean of Students-Bloomfield, the Office Manager provides administrative support to both the Director of Athletics/Sr. Associate Dean of Students-Bloomfield and Assistant Dean within the Dean of Student’s (DOS) office. This role serves as a frontline problem solver for students, families, and staff concerns that come to the attention of the DOS office. The Office Manager consistently delivers excellent customer service as a welcoming and professional initial point of contact for the office.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Aid in the overall office management and provides support for departmental activities including database development and management, office projects, planning and scheduling meetings, and preparing correspondence, presentations and reports.

Update website regularly, maintain up-to-date directory and listserv for Dean of Students (DOS) staff.

Communicate effectively with departments across campus regarding SDCL-related issues, programmatic initiatives, student concerns and conduct matters while responding to inquiries via email, phone, and onsite in a timely and professional manner.

Arrange travel and submit reimbursements for the Dean of Students staff.

Prepare, track, and complete purchase orders, requisitions, quick invoices, and card reconciliations.

Manage administrative tasks associated with SGA, Foundation and Follet Book Scholarships.

Assist with new student orientations and training presentations covering Title IX and Student Conduct.

Support the student conduct sanctions process by uploading all case materials into the University’s student conduct software system, update sanction records, and maintain the student conduct email account.

Review background requests from schools, government and employment agencies, and students.

Coordinate on-site ID card distribution services.

Attend meetings, prepare notes in advance and distribute as needed. Follow up on action items and maintain essential records and filings.

Performs other duties as assigned.

Management retains the right to add or change job duties at any time.

QUALIFICATIONS:

REQUIRED: 

Bachelor’s degree from an accredited college or university in social science, education, psychology, or related field.

Minimum one (1) year of professional experience providing direct support services to students, or related field.

Outstanding customer service alongside excellent oral and written communication skills.

Superior attention to detail.

Ability to exercise discretion and judgement.

Ability to work occasional evenings, weekends, and holidays.

PREFERRED:

Professional work experience within higher education.

Knowledge of relevant laws, state regulations, and University policies and procedures.

Experience with webpage content maintenance.

Ability to prepare clear, technically sound, accurate, and informative reports and correspondence.

Strong multitasking abilities in a fast-paced environment.

Professional work experience with financial transaction processing, budgeting, and complex procurement processes.

High-level skills in the areas of word processing, spreadsheets, and databases; and proficiency in the use of electronic systems and platforms such as Workday, MS Office suite, Banner, 25 Live, Nest, Engage, Symplicity, and other university information systems and applications.
