Office Coordinator
Job Details:

The Office Coordinator performs a variety of clerical activities to support clinical operations including customer service, telephone management, scheduling, and registration. In conjunction with nursing and nursing manager ensures that all provider schedules are appropriately populated, telephones are managed, and complete registration information is captured prior to or during each patient visit. 

 Responsibilities: 

 Demonstrates mission and values with patients, families, and team members.  Utilizes AIDET with all patients. Complies with hospital and department infection control policies and procedures.  Maintains a clean office environment.  Receives and screens visitors and telephone calls.  Provides general information in person and on the telephone.  Calls patients to verify appointments and when patients do not show up for appointment.  Verifies patient demographic information including insurance verification. Performs data entry of patient demographic information. 

Types letters and faxes information as needed. Prints daily schedule. Checks in patients at each visit ensuring complete and up-to-date patient and insurance information. Obtains patient electronic signature on required forms at each visit.  Obtains signature on wound photography consent.Takes photograph of new patients for patient ID band and places ID band on all patients that are checked in.  Notifies clinical personnel of patient arrival. Makes follow-up appointments for patients per physician request.  Maintains and updates appointment calendars with input from manager and nursing staff. Processes referral requests by physicians within a timely manner. Contacts or assists patients in contacting their transportation service. Coordinates files and office information – scans documents into patient chart.  Discharges patient after visit, schedules future appointments and facilitates ancillary procedures. Orders wound care and office supplies in conjunction with manager when necessary. Participates in performance improvement projects and patient satisfaction initiatives as it pertains to position. Performs other duties as assigned. 

Qualifications/Requirements:

Experience: Customer service experience and front-desk experience within a healthcare environment preferred. 

Education: High School Diploma or equivalent (GED)  required.

Licenses / Certifications: N/A

Other: Highly effective verbal, written and interpersonal communication skills to communicate effectively with all levels of hospital staff, patients, visitors, and levels of staff.
