This position is responsible for….

Under general supervision, the Office Coordinator will provide reception services to visitors and callers in addition to general facility coordination and administration duties, including but not limited to mail and order management.

Your day will be very busy… you will:

Answers calls and routes calls accordingly through a multi-line switchboard. 

 

Maintains the telephone system, checks voicemail messages daily and records new greetings as necessary.

 

Greets visitors and notifies appropriate employees of arrival, issues visitor badges and maintains visitor log in accordance with corporate policy.

 

Handles FedEx and other carrier pick up and deliveries.

 

Arranges for car service/taxicab for guests as appropriate.

 

Maintains tidiness of reception area ensuring a neat and professional appearance.

 

Provides general administrative support to the company as needed and may support other areas as assigned by leadership.

 

Monitors inventory and places orders for office equipment, furniture, supplies, etc.

 

Gathers and sorts daily incoming mail and package deliveries and distributes them to respective departments or employees.

 

Weighs and stamps all outgoing mail for processing by the United States Postal Service (USPS).

 

Maintains mailing room supplies and mail automation equipment.

 

Maintains all office machines, to include printers and shredders and arranges for repairs and pickups.

 

Issues employee badges, parking passes and manages building access database.

 

Prepares conference rooms in advance of company meetings, including but limited to restocking of snacks, drinks and requested materials.

 

Coordinates catering deliveries with employee points of contact and arranges for delivery to the relevant conference room or meeting space.

 

Takes accountability to demonstrate the organization’s Cultural Beliefs and achieving desired results. Performance is aligned with the Culture of Accountability.

 What your background will be:

High School Diploma or equivalent (GED) is required. Bachelor’s degree preferred. 2+ years clerical, administrative or related experience is required. Computer proficient to include web browser/internet search, MS Outlook, Word, Excel, and PowerPoint capabilities. Technical competence includes the ability to learn new software and systems.
