This role is not a remote opportunity, it is on-site at our Manufacturing Plant in Indianapolis, Indiana.


Scope: 

 The Office Coordinator, Leadership will the first point of contact to welcome employees, customers, and vendors to Suite 500 and will provide support to the Leadership Team at the plant. This person will be a point of contact for administration needs within Suite 500, throughout the Plant and Distribution Center.

 

Essential Duties and Key Responsibilities:

 

Provide a welcoming that focuses on a safe, highly efficient, enjoyable experience to the Plant and Suite 500 that embraces the Heartland Values. Demonstrates from this first experience to the Plant how friendly, competent, and available our team is.Assist the EVP with calendar management and office management needs.Support Splenda Stevia Farm by tracking and responding to inquiries from farmers requesting to join our farming program.Assist Senior Manager B2B as initial point of contact for unsolicited inquiries regarding contract manufacturing capabilities.Plan and organize company events including the summer picnic, retirement celebrations, luncheons, recognition programs, holiday celebrations, assist with Lunch & Learns, and training needs, etc.May be responsible for special projects related to other functional areas.Establish, organize, and supervise the administrative needs of the Plant, ensuring complete accuracy and confidentiality.Manage conference room needs in Suite 500, approving meeting space as needed. Communicate with Sanitation and Maintenance to keep the space in excellence condition.Responsible for greeting and checking in office visitors; welcoming new hires and will work jointly with Talent Acquisition and Human Resources for on-boarding of new salary hires to Suite 500.Ensure suite office equipment is in working order or troubleshoot to fix the issueMonitors inventory of office supplies, snacks and sodas and replenishing the conference roomsUnderstands, follows, and enforces all established safety, health, quality GMP and Company policies, procedures, and recognized practices.Participates and help with data collection as required.Provides effective guidance relating to employee concerns and problems, to comply with company policies.Educate employees on policies and procedures as requested, including Concur and Megamation. All other duties as assigned.

 

Qualifications:

 

Bachelor’s degree in Business /Management, or related degree Minimum of 3-5 years of experience in executive administrative support and project managementStrong computer skills and working knowledge of Microsoft Office and HRIS SystemsGood communication/interpersonal skills:  Interacting with all levels of the organizationMust be extremely organized, accurate and detail oriented.

 

 

Physical Demands: 

 

Must be able to physically perform the functions of climbing, balancing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, feeling, talking, hearing, and repetitive motions Must be able to work seated using a computer and phone for long periods of time.Must be able to work extended hours, such as daily overtime and an occasional weekend Must possess visual acuity to document company records Continuous walking throughout plant and distribution center.Lift up to 40 pounds
