Job Description
The Office Coordinator ensures the efficient operation of the assigned office by providing daily guidance to front desk and clinical staff, and supporting management.
ResponsibilitiesCommunicate daily schedules to staff, including assignments to providers and paperwork; adjust assignments as needed.Assist employees with daily operational issues and troubleshooting; serve as an expert on practice procedures and software systems.Monitor supply inventory and cosmetic stock weekly, placing orders as necessary.Ensure timely and accurate completion of tasks such as scanning, referrals, co-payments, and managing credit cards on file.Stay updated on industry best practices, regulatory requirements, EMA, and other software applications.Assist in training new employees and provide ongoing training for all staff as directed by management.Keep Operations Supervisors informed of issues and help resolve them; contribute to employee performance reviews.Monitor provider schedules to ensure they are fully booked and cancellations are managed; inform front desk staff of any additional provider availability.Oversee collections to ensure front desk staff collect appropriate payments at the time of service.Identify process issues and improvement opportunities, communicate them to management, recommend solutions, participate in planning, and implement changes.Address employee questions and concerns, such as job dissatisfaction, conflicts, and leave requests, referring to management as needed.Assist in interviewing and hiring staff at the request of management.Perform front desk duties as needed during staff absences or high workload periods.Perform additional duties as assigned.Additional Skills & Qualifications3+ years experience in a medical office settingDermatology experienceSpecialty or MOHS experienceWork Environment
Very busy and fast-paced environment in a dermatology setting. Constantly growing with new providers.
Schedule: Monday-Friday 8:00 AM - 4:00 PM.
Pay and BenefitsThe pay range for this position is $20.00 - $26.00
