Office Coordinator

We are looking for an Office Coordinator to join our HR team in Vilnius, Lithuania! 


Main responsibilities 

 

Handling and forwarding general incoming phone and email inquiries, registering incoming and outgoing mail Registering contracts, archiving and maintaining digital copies Accountable for communication and cooperation with the company’s suppliers including monitoring the market for new suppliers if needed Administration of invoices and other related accounting documents, ensuring timely forwarding to finance department Arranging duty travel according to the company guidelines, including booking travel services, helping with visa requirements and providing necessary information to the travelling employees Organizing and executing internal and external employer branding activities for Vilnius and remote offices according to Employer Branding strategy Regular inventory and management of office supplies and stockroom including keeping track of employer branding assets   Preparing and booking meeting rooms for internal and external meetings/training, arranging technical equipment and extra services (catering etc.) if necessary Overseeing and supporting the H&S related topics in the Vilnius office



Main Requirements 

 

Professional fluency in Lithuanian and English Proactive, organized, and structured personality with good attention to detail Excellent interpersonal and communication skills, as you will be the first point of contact for employees, guests, suppliers and visitors at the office Confident approach to problem solving and open for innovative ideas Quick learner, ambitions, motivated, result-orientated and a supportive team member Proficiency with Microsoft Office for Windows (Outlook, Word and Excel) Willingness to work on-site at the office Experience in HR or aviation field is beneficial
