Strong coordination and organization skills are needed in the role as well as the ability to handle multiple tasks/projects in parallel, and the ability to identify areas for continuous improvement and cost savings.
The Office Coordinator will work from the Grove City, OH office and will collaborate routinely with other Bosch locations/offices. The incumbent must demonstrate the ability to exercise tact and diplomacy in communicating effectively with customers, executives, Hägglunds & Rexroth colleagues and employees. Willingness to comply with & follow safety guidelines, and wear required personal protection equipment (PPE) as required.
KEY RESPONSIBILITIES:
Implements administrative projects as required by Management staff.Manages new customer setup process with support from Corporate team, communicate with customer on status and issues.Coordinates internal meetings (Sales Conference, training sessions, associate meetings, social events, catering, and customer visits to Grove City facility)Inventories and orders office supplies with emphasis on cost reduction (lean principles).Provides support to Quality Manager for QMS in preparation for audits, process document updates, monthly quality reporting, and customer claim reporting with factory.Assists in preparation of reports for sales, service, and other management reports as required.Supports local HSE with Aveta/ISN safety compliance documentation & insurance certificates required by customers.Supports new hire onboarding by acquiring required IT equipment/accessories, providing training on travel expense and travel booking tools, application of travel & expense cards, business card ordering, etc.Coordinates with Marketing support team to maintain supply of current sales and service literature in office, maintains inventory of branded promotional items for trade shows and customer giveaways.Provide backup support for inside sales, (order entry, quotations, etc. as required)Wellness program ambassador for site, and coordination with Bosch wellness team lead.QualificationsMinimum of Associates degree in business, accounting, finance, or related field3 years’ experience in administrative assistant or project coordination roleCustomer centric mindset and documented experience in working with customers (experience should reflect this)Excellent verbal and written communication skills, and organizational skills with attention to detailPersonal computer knowledge: Microsoft Office Suite (Excel, Word, PowerPoint)Experience or prior use in a CRM system considered a plusExperience or prior use of SAP or similar ERP system considered a plusAdditional InformationBy choice, we are committed to a diverse workforce - EOE/Protected Veteran/Disabled.
