The Office Coordinator plays a vital role in ensuring the smooth operation and upkeep of our office. This position works closely with the Office Experience team, in-house housekeeper, cleaners, and building management to maintain a well-organized and welcoming office environment. The Office Coordinator is responsible for managing office supplies, organizing office activations and events, coordinating with vendors, submitting repair and maintenance requests, and assisting with any office support staff queries. This role requires excellent organizational skills, attention to detail, and a proactive approach to solving problems and enhancing office operations.
Key Responsibilities:
Serve as the first point of contact for the "welcome area" and handle office support queries related to office and building amenities, as well as meeting rooms. Manage inventory and procurement of office supplies, ensuring availability and cost-efficiency. Assist the Office Experience team with purchase orders and invoice processing. Sort all incoming mail and deliveries and organise outgoing couriers. Monitor Office Experience inbox and action any appropiate request Work alongside the Office Experience team to ensure smooth running of office activations and events to boost employee engagement and foster a positive workplace culture. Collaborate with the Office Experience team, housekeeping staff, cleaners, and building management to maintain a high standard of cleanliness and organization. Coordinate with external vendors for office services, repairs, and maintenance.Skills and Qualifications:
Proven experience in office coordination or a related administrative role, preferably in corporate environment. Proactive and problem-solving mindset with ability to work independently. Excellent communication and interpersonal skills to effectively interact with colleagues and third parties. Strong organizational and multitasking abilities. Proficiency in Windows office suite (Word, Excel, PowerPoint). Demonstrated attention to detail and precision in all areas of work.
