Office Coordinator
Description We are seeking a diligent Office Coordinator to join our CPA Business Management firm based in Madison, Wisconsin. As an Office Coordinator, your role will consist of managing customer interactions, maintaining a detail-oriented and organized reception area, overseeing mail distribution, and coordinating office facilities. Responsibilities: • Greeting clients and visitors with prompt and friendly service. • Efficiently handling and directing phone calls, taking comprehensive messages, and providing complete information. • Keeping the reception area and lobby tidy and organized. • Scheduling pickups for package deliveries. • Regularly updating reception procedures in the Office Services Teams Channel. • Sorting incoming mail by department and addressee, and processing any lost, held, or returned mail. • Preparing outgoing correspondence for mailing, including folding, stuffing, wrapping, weighing, and posting regular and overnight mail. • Tracking and maintaining office and kitchen supplies, ensuring common areas are stocked and detail-oriented in appearance. • Coordinating with vendors on behalf of the office as needed. • Assisting with special projects from various departments and coordinating internal events as requested. • Ensuring protection of company and client data by following directions given by the Internal IT Department. Requirements • Proven experience as an office coordinator or in a similar role • Proficiency in using Customer Relationship Management (CRM) software • Strong customer service skills and ability to handle client inquiries • Experience with filing systems and maintaining organized records • Capability to manage a multi-line phone system, directing calls as necessary • Proficiency in data entry with an emphasis on accuracy and speed • Responsible for daily mail distribution within the office • Knowledge of the CPA firm industry and business management practices • Excellent organizational and multitasking abilities • Strong written and verbal communication skills • Ability to work under pressure and meet tight deadlines • High school degree or equivalent; higher degree in a relevant discipline will be appreciated Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
