Office Coordinator
Description We are in search of an Office Coordinator to join our team in Lantana, Florida. In this role, you will be tasked with providing comprehensive administrative and project management support, handling a wide range of tasks in a dynamic and fast-paced environment. Responsibilities: • Handle and process confidential information and documents, ensuring a high level of discretion and integrity. • Manage and coordinate daily schedules, appointments, and calendars for team members. • Assist with various office projects, ensuring accurate planning, execution, and tracking. • Oversee incoming and outgoing mail, packages, and deliveries, ensuring efficient management. • Provide high-level assistance for personal needs of executives, including travel arrangements, dining reservations, and gift purchasing. • Respond to general inquiries, providing necessary information in a timely manner. • Manage and maintain office supplies, ensuring adequate stock levels and timely replenishment. • Coordinate with various vendors for services such as office cleaning, maintenance, and deliveries. • Handle ad hoc assignments and special projects with flexibility and discretion. • Maintain a high level of professionalism, reliability, and motivation, going above and beyond as required. Requirements • Minimum of 3 years experience as an Office Coordinator or in a similar role • Proficiency in Customer Relationship Management (CRM) software • Advanced knowledge of Microsoft Office Suites, including Word, Excel, and PowerPoint • Experience with inter-office mail handling and distribution • Expertise in calendar management, with the ability to schedule and prioritize meetings and appointments • Familiarity with Family Office operations and procedures • Proven ability to coordinate travel arrangements, including booking flights, accommodations, and arranging transportation • Experience managing vendor relationships, including contract negotiation and payment processing • Background in wealth management, with the ability to handle sensitive financial information • Strong administrative skills, with a focus on maintaining an organized and efficient office environment.
