Job Summary

Ensures the daily operation of the Morton Salt corporate office in Overland Park, KS runs smoothly. The Office Coordinator is empowered with enhancing the employee and guest experience. This person will assist the Office Manager to keep the office running smoothly with a service-oriented attitude, attention to detail, and proactive problem-solving. We are looking for a motivated people-person with an upbeat attitude, hospitality mindset who genuinely enjoys supporting others. This role is fully onsite and is not eligible for remote or hybrid work arrangements.

Duties and Responsibilities

Coordinates, oversees and ensures completion of all activities associated with the operation of the Morton Salt Overland Park office, including maintenance and housekeeping, security, receiving and shipping, furniture and equipment, mail and distribution services, and answering phones as needed. Work with the Office Manager to oversee basic facilities management, submitting work orders and partnering with property management to handle maintenance issues in a timely manner. Be responsible for the daily upkeep of the office, including keeping the office tidy, stocking coffee and snacks, and ensuring breakrooms, conference rooms, and collaboration areas stay clean and presentable throughout the day. Place breakroom and supply orders and proactively manage inventory, working against a monthly budget Managing organization and ordering of all office, shipping and printing supplies Provide support to the Office Manager on a variety of projects and tasks including inventory management, office organization, office cleanliness and expense reports. Keep Overland Park personnel informed on all office happenings through clear, proactive internal communications. Examples of this could include weekly emails announcing client visits, new employees, upcoming meetings, building maintenance, etc. Assisting in new employee onboarding Support in-office client meetings by creating welcome screens, setting up and maintaining beverage carts, ordering catering and/or flowers as needed, setting up/cleaning up meals including loading/unloading dishwasher. Responsible for maintaining the seating chart and coordinating any workstation moves. Organizes and maintains supplies of all materials necessary for efficient office operations. Monitors office equipment and arranges for the repair of inoperative equipment. Assists to ensure facilities-related invoices are paid in a timely and accurate manner. Takes independent action on handling facilities-related requests; determines the appropriate course of action and communicates solutions with the requestor. Assist in the development and management of the facilities budget. Other responsibilities and duties as required by leadership.

Knowledge, Skills, and Abilities

At least 1-2 years of office, facilities, and/or property management experience is preferred. Experience with budgeting and expense control to plan, implement and maximize expenditure of funds while maintaining quality standards a plus. College or associate degree preferred. Strong verbal and written communication skills Proficient with Microsoft Office and a working knowledge of office equipment High level of interpersonal skills and the ability to work well with others Must be able to multitask and manage numerous priorities at once Must have a strong work ethic and be energetic, with attention to detail Must have leadership abilities, the ability to problem solve, and propose solutions The ability to maintain confidentiality of information. Ability to use web-based applications for collaboration and facilitation, e.g., Teams meetings. Ability to occasionally lift up to 35 lbs.
