Office Coordinator - Full Time (Wound Care Center)

Description:

*Schedule patient appointments

*Collaborate with Clinical Coordinator in scheduling new and walk-in patient visits.

* Establish a system to track cancelled appointments and reschedule cancelled patients immediately.

* In conjunction with the Clinical Coordinator, maintain a new patient scheduling system based on referral source preference, panel physician insurance participation, medical staff by-laws restrictions (podiatrists), and panel physician preference, specialty, and rotation status.

* Make patient appointment confirmation calls one day prior to the scheduled appointment.

* Answer the phone promptly (within 3 rings) in a positive and professional manner.

* Obtain all information on the new patient information sheet during the initial appointment scheduling call.

* Maintain a current list of insurance plans in which the Hospital and each panel physician participates. * Arrange patient transportation as needed.

* Obtain insurance pre-certifications and authorizations as needed and furnish to treating panel physician.

* Advise patients of the treatments, tests and procedures covered by their payor source. Complete ABN notices as required.

* Review patient co-pay and deductible information with the patient and family as appropriate.

* Register the patients in the Hospital registration system.

* Obtain insurance pre-certifications/authorizations.

* Establish a system to track managed care patients and the number of approved visits.

* Prior to the last approved visit, obtain approval from the payor for any additional visits.

* Coordinate and perform daily charge entry per Hospital policy.

* Ensure that the hospital postings of all adjustments based on insurance type and date of service are accurate.

* Reconcile month end statistics with the Program Director and Clinical Manager.

* Review Charge Master, with Program Director, as needed

* Update the charge master and the super bill when appropriate based on new CMS data distributed by Healogics RCM Department, and under the direction of the Program Director.

*Maintain safe environment and follow all Hospital and Healogics policies and procedures.

* Maintain a professional appearance and manner at all times.

* Interact in a courteous manner, whether by phone or in person with all patients, family members, visitors and staff.

* Report all unusual occurrences and issues to the Program Director.

* Maintain strict patient and staff confidentiality.

Minimum Qualifications:

* High School Graduate. Associate Degree preferred.

* Previous medical office administration experience preferred.

* Positive interpersonal relationship skills required
