As Office Coordinator II you are primarily responsible for the administrative support for the sales team by accurately creating customer bids from take-offs, maintaining price lists, and performing job audits. 

 

 

Responsibilities:

Creating customer bids from take-off spreadsheetsMaintaining price listsVerify pricing on purchases ordersEnsure options are added and priced correctly to jobsPerform job audits by verifying job costing and customer pricing is accurateJobCORE maintenance by updating models and current jobs with any changesCommunicate with sales team to resolve customer service issuesContract administration, certificates of insurance, and licensingMaintaining the Commercial BacklogIdentify payroll discrepancies including labor paid out above and beyond was included in customer estimates and communicate with Branch ManagerRespond to payroll/billing audits from CorporateInvoice customers daily and end statements monthlySubmit commercial payments by the 20th each monthAchieve < 35 days outstanding AR goalWork with AR Manager on mechanics liens, small claims, and legal counsel as neededSend invoices for processing after they have been approved by Branch ManagerEnter purchase order information for inventoried materials on the Branch IBP Material PO LogEnsure p-card (company credit card) receipts are uploaded and coded correctlyManage workers’ compensation claims/injuries including review requests for modified workHuman resource duties such as preparing new hire packets, employee folders, and leave of absencesAssist with marketing and recruitingTrained in backup coverage for scheduling, payroll, and billing.

 

 Preferred Qualifications:

HS Diploma or GED Equivalent (Required)Strong computer skills, specifically in excel (Required)Excellent attention to detail (Required)Marketing skills are a plusCustomer Service experienceProficient in Microsoft Office, specifically ExcelHave a natural curiosity Strong, clear verbal and written communication skillsAbility to work under pressure and meet deadlines independentlyHighly organizedStrong Problem-solving skills
