Position Summary
This position will provide professional administration and post-award support for human resources, finance, travel, and general office matters. We value and welcome team members who want to offer great customer service to all and strive to become the best they can be.
What you'll be doing:
+ Act independently to manage daily office operations ensuring timely response to matters concerning department administrative business.
+ Assist with onboarding new hires, including I-9 verification. Assist with offboarding departing employees.
+ Use MSU Enterprise Business Systems (EBS) human resources environment to process job postings and hiring for on-call/temporary and student staff.
+ Process hiring of graduate research assistants.
+ Enter bi-weekly payroll for hourly employees.
+ Manage payroll account allocations in MSU systems for hourly employees.
+ Use Concur travel system to assist faculty, students, and guests to arrange travel including transportation and accommodations. Assist with post-travel reimbursement requests. Maintain Global Travel Registry functions for department travelers.
+ Procure goods and services using various methods such as Spartan Marketplace, purchasing cards, and purchase orders to ensure precision in quantity, pricing, and delivery timelines.
+ Run reports in Business Intelligence environment.
+ Execute professional services contracts with outside vendors.
+ Process visa requests with Office for International Students and Scholars (OISS) for J-1 visiting scholars.
+ Work with ID office to assist visiting scholars with MSU ID cards.
+ Oversee department key distribution and electronic building access.
+ Use Spartan Space to organize department space allocations.
+ Act as liaison with Infrastructure Planning and Facilities (IPF) for Manly Miles building matters.
+ Manage incoming and outgoing mail and packages.
+ Maintain department inventory and capital asset management.
+ Coordinate department contracts such as copy machine and water service.
+ Serve as a friendly and helpful department point of contact for inquiries.
+ Assist department director with department administrative and scheduling duties.
+ Gather and relay sensitive information between department director and other university departments.
+ Research and collect data for director and department reports; assist with drafting reports.

Minimum Requirements
Knowledge equivalent to that which normally would be acquired in the first two or three years in college, technical school or related field; one to three years of related and progressively more responsible or expansive work experience in a professional office setting, performing secretarial and administrative tasks, including experience with scheduling meetings, data entry, payroll processing, office machines, email and internet usage or in performing tasks related to the area of employment; experience in word processing, spreadsheet, mail merge, database, calendaring, publishing, and/or presentation software; or an equivalent combination of education and experience.
