Office Coordinator Outreach Eastwood Mall - St. Joe's at the Mall

Responsible for assisting Eastwood Business manager in delivering all facets of a multi-program mall site. This includes but is not limited to planning, implementing and marketing programs and events with the emphasis on highlighting Mercy Health services.  Assists with office management, receptionist duties, record keeping, and budget tracking in order to achieve our mission of providing quality services to all our members and community.

Essential Job Functions

Performs office management and team support duties for Manger of Eastwood Mall Outreach, St. Joes at the Mall staff, and other personnel as needs are identified.

•             Types memos/letters as requested

•             Develops new and/or revises forms and receives final approval from appropriate personnel.

•             Utilizes various personal computer software programs for typing memos, letters, minutes, notices, flyers, records, class schedules, calendar of events, powerpoint etc.

•             Maintains scheduling for programs, screening, and other appointments.

•             Orders food, refreshments and does work/supply orders.

•             Collects statistical data information for budgets.

•             Complies statics from program evaluations for review by specific program committee and managers.

Performs receptionist and membership duties:

•             Answers telephones; takes and delivers messages with excellent verbal and written communication skills.

 •            Receives customers (general public, employees, physicians, etc.), ascertains needs, and gives directions in a positive, professional manner.

•             Registers new members on Compete computer.

Restricted Fund Accounts:

•             Helps to process check requests, office supply orders, medical supply requests, invoices, reimbursements, and other staff requests, obtains proper authorization and follows appropriate policy to insure payment and/or processing of request in a timely manner.

•             Processes all office supplies through Guy Brown Office Max program (on computer).

•             Maintains files and supply cabinets in an orderly fashion (cleaning done on a yearly basis.)

•             Maintains scheduling for programs, screening, and other appointments.

•             Responsible for orienting, training, assigning and reviewing work of office clerical volunteers and student interns.

Required Minimum Education:

High School Diploma or GED

2 Year/ Associates Degree

Minimum Years and Type of Experience

Two or three years (2-3) of general clerical experience with good typing and organization skills working in office management, working with community and senior populations, with a multi-generational clientele or Health and Fitness settings.

Other Knowledge, Skills and Abilities Required

Excellent skill in use of Microsoft Office and Microsoft Outlook.   Additional training in computers, clerical/office training required.

Other Knowledge, Skills and Abilities Preferred

Knowledge and experience tracking budgets, submitting bills, and filing.  Familiar with Health & Wellness programming.
