Our client, a leading global asset management firm with an office in Summit, NJ, is looking for a long-term temp Office Coordinator/ Receptionist to support their office! This role starts ASAP, with a fully open-ended temp contract (this role isn't going away). This role is fully onsite Monday through Friday, 8am-5pm with a 30-minute unpaid lunch break. Hourly pay rate is 30/hr.
Office Services
Managing inventory of onsite office supplies and ordering inventory as requiredCoordinate delivery of incoming mailAssist with external mailingsStock paper and toner in copy room printerFacilities Services
Oversee work orders for the site and be a liaison to the FM team in NYCManage day to day issues and potential complaints at the facilityInspects conference rooms for cleanliness, reserves conference rooms, and coordinate special setups.Conduct routine walkthroughs and assessments of the facility to ensure that they are clean, stocked, maintained and appropriately utilizedInspect vendor work to ensure compliance with service level agreements and firm policiesWorks collaboratively with building management and service vendors for reactive and preventative maintenance itemsPartner with 3rd party vendors and landlord as neededHospitality & Room Management Services
Oversight of hoteling software and reservations for hoteling employeesResolution of office/workstation reservation issuesSupport data collection, analysis and reporting of hoteling and space utilization dataCoordinate catering or food service for special events at the facility (ie. weekly bagel order).Ensure cleanliness of common areas and kitchen areaStock pantry, refrigerator and kitchen supplies dailyReception Services
Manage the front desk for incoming guests and employeesAssist guests and candidates with onsite inquiriesQualifications & Requirements
Minimum of 3+ years' prior experience in hospitality, facility / property management, operations, and/or knowledge of commercial real estate, preferred.Ability to manage multiple priorities and deliver results in a fast-paced, pressurized environment.Strong work ethic, a proactive self-starter with positive attitudeExceptional customer service skills with a passion for hospitalityExcellent communications skills with attention to detailsAdvanced time management and prioritization skills, essentialCapable of being both part of a cohesive team, and possess the ability to work independentlyStrong understanding of customer service, service delivery and client relationship managementFamiliarity and understanding of various service specific systems; including but not limited to EMS, Building Engines, Service Now, Corrigo or another workflow system a plusProficient in Microsoft Office, Excel, PowerPoint, and Word A1405294NY-Temp_1738089771 To Apply for this Job Click Here
