POSITION DESCRIPTION
The Office Logistics Coordinator supports the Facilities Team and is also responsible for planning and managing the office layout, seating arrangements, and workspace allocation for a dynamic and growing team. As part of the Facilities team, the Office Logistics Coordinator will work closely with HR, security, and other departments to address seating shortages, space utilization, and coordinate office moves or reconfigurations.
The following essential job functions are performed as the Logistics Office Coordinator
Coordinates multiple tasks and projects within the Facilities Team. Generates and maintains schedules and budgets for internal projects as well as continuous improvement projects Communicates with employees at all levels of the company and to customers to ensure project success. Creates and maintains companywide seating plans. Organizes and executes changes by coordinating between departments then updating plans. Regularly assess and update the layout to accommodate new hires, department expansions, and changes in team structure. Track employee seating arrangements and manage desk assignments. Coordinate office moves and seating reassignments as required, ensuring minimal disruption to daily operations. When external resources are needed for office moves or reconfigurations, coordinate with relevant vendors, suppliers, or contractors to ensure timely and budget-friendly project completion. Manages travel arrangements for members of the Facilites Team. Interfaces with and understands key software programs such as SAP/SQL/MS Projects. reates and maintains reports to support communication of project and team status. Behavior: The incumbent must work well under pressure, meeting and completing multiple deadlines. The incumbent shall, at all times, demonstrate cooperative behavior with colleagues and supervisors. Being at work on time and maintaining good attendance is a condition of employment and is an essential function of the job. Performs other duties as assigned.QUALIFICATIONS
Due to our ITAR and EAR regulations, applicants must be a US Citizen or of Legal Permanent Resident Status as defined by 8 U.S.C. 1324b (a) (3).EDUCATION/EXPERIENCE
High school diploma or GED is required. Additional certification or education in facilities management, logistics, or business administration is a plus. 2+ years of experience in office management, facilities coordination, or logistics, with a strong understanding of workspace planning and layout. Proficiency in layout planning software or tools (e.g., AutoCAD, Excel, or equivalent). Professional conduct with coworkers and customers. Highly organized with ability multitasking ability to evaluate and prioritize work. Must have strong communication skills through written, verbal, and graphical mediums in the English language. Proficiency with Microsoft Office Software, experience in scheduling software is required.ADDITIONAL INFORMATION
Wage range for this role is between $25 - $35 an hour plus a discretionary bonus, 401(k) matching, vacation, and health benefits. Employees can also receive additional pay for off-shifts, off-site work, and access pay. The range provided is Janicki’s estimate of the base compensation for this role.
