Office Management/Staff Office Support Level 4's idependently perform a wide range of functions and tasks, requiring vision, leadership, and proficiency in developing, explaining and supporting policy implementation. Problem identification, analysis, and resolution is central to the effective conduct of activities as is the ability to work from an Agency perspective. Provide general or specialized administrative support to NGA offices and programs. Develop pertinent information for communication to varied audiences (e.g. NGA, DoD, IC, Federal Government, Congress, the media, the public, the international community, and private industry). Provide other administrative duties (e.g. scheduling and coordinating meetings, calendars, and events; gathering, inputting, and retrieving electronic data; maintaining files and folders; researching and analyzing information and data to prepare reports, presentations, and papers; prepare routine correspondence) in accordance with NGA standards. Prepare and distribute briefing and read-ahead materials and maintaining office supplies.
Responsibilities
+ Assist with coordination, analysis, execution and process documentation of the HD Awards Program and Honorary Awards.
+ Developing SOPs, guides and other Career Service products in accordance with NGA style manuals.
+ Managing travel (using DTS and MET Systems), training, boards, meetings, calendars, events, etc., and assisting in the compliance, analysis, execution and process documentation in support of discretionary training, government travel, and the Government Travel Card Program.
+ Providing logistics support to enabling mission support events.
+ Processing cross career service and change in career service requests.
+ Providing meeting support to a variety of Communities of Practice, working groups, technical reviews, boards, etc.
+ Providing Records Management, Intelligence Oversight, Performance Management, Business Continuity Planning, Operations Security, Enterprise Risk Management, Personnel Accountability, Space Management, Personal IT Device (PITD), and Supply Management support.
+ Processing and executing enabling mission support related functions and tasks in various mission support, business operations, and human resource information systems.
+ Use advanced functions of Microsoft Office, SharePoint and Defense Travel System on a daily basis.
+ Tracking and managing formal taskers workflow, completion and close-out.
+ Problem resolution regarding NCERTS and administrative process and tracking of documentation.
+ Assist staff in preparing business operations program related reports and briefings.
+ Develop and maintain administrative policies, procedures, and standards to support enabling mission support objectives.
+ Respond to customer inquiries, prepare general correspondence, file maintenance, assisting the staff with enabling mission support actions.
+ Understand and monitor tasking processes and procedures for routine correspondence, and accountability.
+ Promote knowledge sharing via proper submitting, reviewing, and releasing of HDF information.
+ Provide other administrative duties listed (scheduling and coordinating meetings, calendars, and events; gathering, inputting, and retrieving electronic data; maintaining files and folders; researching and analyzing information and data to prepare reports, presentations, and papers; prepares routine correspondence in accordance with NGA standards; prepares and distributes Briefing and Read Ahead materials; maintaining office supplies, initiating equipment trouble tickets or replacement, and coordinating office moves).
+ Provide research, analysis and making recommendations on administrative, management and procedural practices.
+ Write logical, comprehensive, concise reports, staff summaries and correspondence.
+ Apply a broad range of expertise to lead projects and programs, implement change management initiatives and recommend process improvements.
+ Manage office actions, coordination and records management to meet compliance requirements.
Qualifications
+ MINIMUM QUALIFICATIONS
+ Required:
+ Bachelors degree in related field and 11+ years of related experience or 19 years of related experience without the degree
+ Minimum 5 years demonstrated experience working in a business operations/management related position.
+ Minimum 5 years demonstrated experience working within the Intelligence Community and/or Department of Defense performing staff officer and business operations functions.
+ Minimum 2 years demonstrated experience processing business operations/management functions supporting corporate or government senior executives.
+ Experience and demonstrated competency performing staff officer duties in a highly independent manner.
+ Possesses strong written and oral communication skill and can interact with senior-level directors and/or agency heads.
+ Minimum 12 months demonstrated experience with DTS.
+ Minimum 12 months demonstrated experience tracking and managing formal taskers.
+ Minimum 6 months demonstrated experience with SharePoint.
+ Desired:
+ Master’s Degree in business operations, business management, business administration or a related field.
+ Associates Business Continuity Professional (ABCP) certification or higher from the Disaster Recovery Institute Internal (DRII) or other equivalent industry standard certification for continuity planning
+ Knowledge of NGA specific applications and methods including: Taskers, Correspondence Manual, and PeopleSoft desired.
