**8995BR** **Position Title:** Office Manager **Organization:** Office of the Provost & Sr VP for Academic Affairs **Job Responsibilities:** Manage and organize the administrative and operations functions of the Office of the Provost, including but not limited to: + Oversee the student staff team; solicit project and support requests from office staff; triage and delegate appropriate tasks and projects; supervision, recruitment, scheduling, payroll, and training and development + Office Management & Operations Functions: facilities management and ITS infrastructure; travel arrangements and reimbursements; department procurement cards; with the Provost Budget Team, review office-operations related expenditures including student employee budget. Serve as the first point of contact in the suite and manage stakeholder and customer relationships by evaluating requests, conducting needs assessment, triaging and delegating where appropriate, providing technical coordination where needed, and following up on critical issues + Administrative Support: Independently manage complex meeting and committee schedules, logistics, and calendars for Office of the Provost directors and senior leadership, primarily for the Vice Provost, the Dean of Undergraduate Studies, and the Associate Provost for Student Success. Assess and prioritize meeting requests based on urgency and determine appropriate timelines. Support preparation and meeting coverage when needed. Support projects as assigned + Collaborates with the Executive Assistant to the Provost on day-to-day activities of the Provost, including but not limited to: scheduling and managing logistics for large group meetings and events hosted by the Provost; calendar management; triaging and delegating phone calls and emails appropriately; supporting logistics for executive searches Support the Office of the Provost’s events, marketing and communication efforts by serving as a member on the office events committee to the Director of Academic Affairs Events’ team Other special tasks and projects as assigned; including developing a high-level working knowledge of responsibilities of the Executive Assistant to the Provost and the Policy, University Council (UC), and Faculty Senate (FS) Coordinator and serving as back-up in their absence as needed. **FLSA Category:** Non-exempt **Requisition Number:** 8995BR **College/Division:** Provost **Required Application Documents:** Cover Letter, Curriculum Vitae or Resume **Employment Category:** Fulltime **Additional Details:** In compliance with NYS's Pay Transparency Act, the salary range for this position is listed above. This role involves supervising a team of student staff, and occasional part-time, co-op, and/or contract employees. The Office Manager provides high-level administrative support and guidance to leadership on office operations and continuity best practices and works to enhance organizational effectiveness and efficiency. To accomplish this, the Office Manager is tasked to ensure streamlined and standardized processes, eliminate redundancies, and ensure sound financial stewardship of space, equipment, and office and event expenditures. The Office Manager must be able to work independently under minimal guidance, set priorities, independently propose solutions to problems requiring innovation and creativity, and exercise good judgment and discretion. The Office Manager should possess, or be willing to develop, a thorough understanding of the University’s policies and procedures as well as the office's administrative functions in order to ensure continuity during staff absences and assist with on-boarding new employees when needed. Key responsibilities include managing the student staff team, providing support to the Dean of Undergraduate Studies and Associate Provost for Student Success, the Vice Provost, as well as acting as a liaison to the Director of Academic Affairs Events, and collaborative partner for the Executive Assistant to the Provost. **_Please note_** _: This position requires occasional evening and weekend work to support Academic Affairs events.
