Office Manager

Onsite: Nashville TN (Some occasional (<20%)  travel is required across the State)

40 hrs./week; full time; M-F 8:30-4:30 (can start earlier but no later than 9 am. Some occasional OT may be required)

$65,000-80,000 BOE

We are looking for an Office Manager for our client account dedicated team. Reporting to the Director of Business Operations and working as part of the overall Facilities Management Team, the Office Manager will manage a range of services and provide the necessary support to ensure the efficient and effective running of the account team. Duties to include but not limited to: Disseminating communications to the appropriate teams, creating work orders, answering Client questions on services/support, supporting account leadership with various functions related to coordination of services/training.

Job Duties

Act as primary POC for State of Tennessee account questions/servicesAct as account team focal for communicationCreate/distribute team communications, newsletters, surveys; collect and summarize feedback from team as necessaryCreate/edit monthly and quarterly client reports, ensure team deliverables are accurate and on timeDisseminate requests from the client(s) to the appropriate teamsManage knowledge portal, including validating and updating contentAct as account Smartsheet administratorManage account master contact lists and IT inventory/inventory listsManage equipment requests such as mobile phones, laptopsAdminister master mobile phone account including billing, ordering, line managementAdministrator of State provided office equipment/parking passes/badgingAssist hiring managers with onboarding/offboarding and coordination of on the job training schedulesCoordinate team meetings and events; lead team event planning committeeCollect work order updates for agency meetingsCreate work orders at Client request

Knowledge/Skills/Abilities

High School degree or higher3-5 years minimum prior relevant experience in hospitality, facility / property management, operations and/or knowledge of commercial real estate, office management preferredProficiency in Microsoft Office, including Excel, Word, Teams, PowerPoint, with aptitude to learn new software and systemsAdvanced computer skills and experience with online platforms; Smartsheet or similar online collaboration tool experience preferredExceptional customer service skills and professionalism with a passion for customer serviceAbility to manage multiple priorities and deliver results in a fast-paced environmentExcellent organizational and communication skillsHighly collaborative with strong interpersonal skills and track record of excellent internal and external customer serviceAbility to work independently – strong prioritization and time management skillsAbility to handle confidential information
