Job Overview
As an Office Manager, you’ll be responsible for assisting to the administration and coordination of all of the day-to-day operations in the office.
Your Responsibilities:
Manage the daily functions of the Operations department including Office Management, Mailroom, Maintenance and Quality Control while maintaining standards of excellence for processes, methods and personnel. Manage the process improvement and quality control of the Operations functions to maximize productivity, minimize duplicate work, and ensure quality service is delivered. Review the work of assigned staff. Establish quality control standards, develop budget and cost controls, and obtain data regarding types, qualities, specifications, and delivery dates of products ordered. Ensure all established costs, quality, and delivery commitments are met. Provide guidance in the process and planning of personnel requirements, subcontract requirements, facility needs, and tooling and equipment needs. Review operating reports and direct the resolution of operational problems to ensure minimum costs and prevent delays. Provide direction to staff and assist in the investigation and resolution of problems. Recommend personnel actions, promotions, transfers, terminations, or disciplinary measures. Maintain awareness of changes in rules, statutes or regulations and communicate changes to staff. Direct training of staff when new procedures are required to comply with changes. Develop Standard Operating Procedures and maintain existing procedures. Review processes and ensure they are in compliance with current statute. Manage the communication and compliance of SOP’s within teams, managers and internal and external customers. Manage the budget for the functional areas of responsibility. Monitor expenses, initiate cost reduction programs and negotiate prices with vendors. Ensure that office operations are performed within budget parameters.
Skills & Qualifications:
Three (3) to five (5) plus years of related work experience. Associates degree with concentration in business preferred, or equivalent combination of education and experience. Proficiency in computer programs like Microsoft Office, Outlook and Windows required. Excellent interpersonal, office management and communications skills. Must possess strong administrative background. Self-starter with excellent communication, interpersonal and customer service and telephone skills.
Physical Requirements:
Physical demands include ability to lift up to 50 lbs. Standing, sitting, walking and occasional climbing. Required to work at a personal computer for extended periods of time. Talking on the phone for extended periods of time. Ability to detect auditory and/or visual emergency alarms. Ability to work extended/flexible hours, weekend, and attend Board meetings as required. Driving when necessary.
