Office Managers are required to interact with managers, employees, vendors, and customers. Therefore, the following skills and proficiencies are also essential of the position:

Ability to maintain regular, predictable, and punctual attendance.Computer usage and typing skills are essential.Excellent verbal and written communication, including the ability to effectively communicate with internal and external customers.Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.Communicates effectively: conveys facts and information clearly both verbally and orally.Collaborates well with others proactively contributes to group objectives; volunteers to help others.Proficient in MS Excel, Word, Power Point and Outlook.Must have the ability to type 60-90 words a minute.

 

 

Responsibilities

The Office Manager will be responsible for a variety of administrative tasks. This position is the representative of first impressions for the organization and a professional appearance and demeanor are critical. The individual is responsible for greeting customers and visitors, performing updates of plant reports in a timely and accurate manner, and maintaining plant files for the various departments. The primary duties of an Administrative Specialist include:

Provide leadership in the following areas either directly or through subordinates:

FinancialEnsure compliance to internal controls.Execute office management in compliance with Corporate Administrative policies and procedures.Assist Plant Controller with month end reports as assigned.Assist with Yearly budget. Accounts Payable/Accounts ReceivableGenerate and track purchase orders, receipts and invoicesMonitor cost allocation to correct account numbers for office/HRPost goods receipts dailyPayrollCheck reported time for accuracyEnter and reconcile weekly payroll hoursReport weekly hours for temp employees to agenciesReconcile temporary hours to invoices and process for paymentHuman ResourcesUnderstands, follows and enforces all established safety, health, quality, GMP and Company policies, procedures and recognized practicesAssist with recruiting, interviewing and onboarding of new hiresCreate and maintain personnel files, training files and weekly payroll files.Process some employment transactions with Corporate Human Resources.Update and maintain attendance records, issue warnings and update discipline logMaintain Office equipment, schedule service and order suppliesManage incoming and outgoing mailPerform other similar or related duties as requested or assigned.

Skills and Proficiencies

Excellent organizational skills and attention to detail, able to juggle and prioritize multiple tasks simultaneously while delivering on commitments

Outstanding communication skills in written and verbal form; extensive public speaking, training, and/or leadership communication skills

Develop and maintain positive relationships with employees, supervisors, and managers

Flexibility to facilitate employee relations events on nights and weekends as necessary.

Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.

Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and TEAMS) and the ability to quickly learn new systems.  Experience with Learning Management Systems such as LITMOS

Qualifications

High School Diploma or Equivalent, Some College Preferred

Two to five years of administrative experience in a manufacturing or distribution environment is preferred

Prior experience in accounting and/or human resources is highly preferred
