SummaryThe Office Manager will oversee daily administrative operations and ensure the office runs smoothly and efficiently. This role includes supervising office staff, managing schedules, handling budgets, and maintaining office systems and procedures. The ideal candidate is highly organized, resourceful, and capable of managing multiple tasks with minimal supervision.

Physical Demands & Work Environment• Work is normally performed in a typical interior/office work environment• Lifting and/or occasionally moving up to thirty-five pounds can be expected• Required to drive, stand, walk, use hands to type, handle, or feel; reach with hands and arms; climb or balance; talk and hear. Body motions and movements include bending, twisting, reaching, stooping, pulling, kneeling, lifting, carrying, and pushingEssential Duties and Responsibilities:Maintains office productivity through proficient use of appropriate software applications; maintains uniform correspondence procedures and style practices in accordance with company policies.Prepares invoices, proposals, and reports as needed.Prepares and/or coordinates monthly billing for branch.Tracks credit card expenses for branch personnel.Performs collection work for branch.Keeps records of personnel transactions such as timesheets, benefits, hires, promotions, transfers, performance reviews, and terminations, and employee statistics for government reporting.  Forwards this documentation to corporate human resources for payroll and recordkeeping purposes.Under the direction of corporate human resources, Identifies legal requirements and government reporting regulations affecting human resources functions and ensures policies, procedures, and reporting are in compliance.  Oversees enrollment in benefit plans once employee becomes eligible.Oversees the analysis, maintenance, and communication of records required by law or local governing bodies, or other departments in the organization.Recruits, interviews, tests, and selects employees to fill vacant positions.  Reviews clerical and personnel records to ensure completeness, accuracy, and timeliness. Maintains personnel records for branch..Plans and conducts new employee orientation to foster positive attitude toward company goals.  Ensures proper completion of new employee paperwork.Responds and/or investigates employee inquiries regarding policies, procedures, and programs.Coordinates activities of various clerical departments or workers within the branch.Maintains contact with customers and outside vendors.Organizes company functions / events / meetingsOversees the purchasing and distribution of office supplies.Follows safety proceduresOther duties as assigned
Required Qualifications:Valid Florida Driver’s License with acceptable driving record (in accordance with our Driver’s License and Motor Vehicle Record Check Criteria)Ability to pass a background check screening in accordance with Florida’s Jessica Lunsford Act (or equivalent state classification)High school diploma or general education degree (GED) preferred but not required.  Minimum of five years related experience in an office setting.  Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports and business correspondence.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.Preferred Qualifications:Proven experience in an Office Manager, Administrative Manager, or similar roleExcellent organizational, multitasking, and time-management skillsStrong communication and interpersonal abilitiesProficiency in office software, including MS Office Suite and scheduling toolsAbility to handle sensitive information with confidentialityDetail-oriented and proactive problem-solverBudget management and negotiation skillsCapable of working under minimal supervisionStrong team player and leaderPrevious experience in administrative roles, preferably in an AEC industryWho We Are:   UES provides essential engineering services for some of the most prominent and significant projects in the nation.
