Description We are offering a contract to permanent employment opportunity for an Office Manager in Appleton, Wisconsin. This role primarily focuses on coordinating all business unit accounting activities, maintaining accurate records, and handling administrative duties. The Office Manager will be a key member of our team, contributing to the smooth and efficient operation of our office.
Responsibilities:
• Coordinate and oversee all business unit accounting activities, including accounts payable, accounts receivable, and profit and loss reconciliations.
• Maintain strict cash control and ensure compliance with relevant regulations and standards.
• Administer payroll duties, ensuring timely and accurate processing.
• Oversee human resources administration and manage employee benefits.
• Coordinate routine office duties such as data entry, maintaining associate files, and record retention.
• Prepare monthly and annual business reports and handle the POS system, camera system, and digital signage.
• Analyze and organize office operations and procedures to maximize productivity.
• Establish uniform correspondence procedures and style practices.
• Formulate procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
• Review clerical and personnel records to ensure completeness, accuracy, and timeliness.
• Use accounting software systems, CRM, and other related software proficiently to carry out tasks efficiently.
• Respond to and resolve customer inquiries, ensuring high levels of customer satisfaction. Requirements • Minimum of 1 year of experience in an Office Manager role or similar position
• Proficiency in Accounting Software Systems and ADP - Financial Services
• Experience with Concur, CRM, and Dentrix Dental Software is preferred
• Familiarity with About Time software
• Strong knowledge of accounting functions, including Accounts Payable (AP) and Accounts Receivable (AR)
• Experience in answering inbound calls in a detail oriented and courteous manner
• Ability to prepare financial reports and manage bi-monthly payroll
• Strong organizational skills and the ability to multitask
• Excellent communication and interpersonal skills
• Ability to work independently and as part of a team
• High attention to detail and problem-solving skills
• Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint
• Ability to handle confidential information with discretion
• Willingness to continuously improve and learn new skills.
