Who is the Office Manager?

This role reports to the HR Director and is responsible for overseeing all aspects of office administration and operations. This person will also provide administrative support to Senior Leadership Team based in Singapore.

This role requires the person to work from office from Mondays to Fridays.

What are the key responsibilities?

Day to day office administration (60%)

Manages all general office administration and facilities management.Main liaison for building management, vendors, contractors for upkeep of the office and oversees access card systems, vendor contracts, office supplies.Keeps records of maintenance contracts and coordinates for renewals.Supports onboarding and offboarding processes.Handles CORPPASS access for government transactions.Plans and supports all employee engagement events, for example major festive celebrations, quarterly townhalls, teambuilding, CSR events.Supports sending out of all local email correspondence and all business meetings and training workshops.Supports vendor enrollment and works with AP COE to ensure timely payment of invoices.Any ad hoc support required from time to time.

Administrative support to GM + ALT Support (40%)

Organizes and manages travel arrangements, including travel itinerary preparation, visa application, booking of air tickets, accommodation and airport transfers.Processes all expense claims accurately and ensures timely submission via Concur.

Here’s what you’ll bring to the team:

Proven experience in office administration and executive support roles.Experience in organizing events and coordinating with vendors.Strong organizational and multitasking skills with the ability to prioritize and meet deadlines.Excellent communication skills, both written and verbal.Proficiency in Microsoft Office Suite and familiarity with Concur (or similar expense systems).Ability to work independently with minimal supervision.Strong interpersonal skills to liaise effectively with internal and external stakeholders.High attention to detail and accuracy.Strong problem-solving skills and a proactive mindset.Flexibility to handle ad-hoc tasks and changing priorities.
