Office Manager

This is a critical position in our firm that offers an experienced administrative professional an opportunity to utilize a vast array of skills, develop new knowledge and perform a wide variety of administrative and accounting functions.

Responsibilities:

Retrieve mail from both the post office and from the onsite mailbox

Sort, scan & distribute incoming and outgoing US mail

Prepare outgoing packages for shipping using FedEx, UPS & other shipping services

Maintain the primary role in answering and distributing messages including incoming phone calls, voice mail messages, and faxes from clients, carriers, and vendors

Send daily email informing the office of who is working in the office, who is remote and who may be off work for the day

Assist with attaching emails in EPIC

Separate and scan all mail into EPIC for the service team to process

Assist service team and clients with issuing auto ID cards

Send payment reminders to clients

Work with banks and mortgages companies to answer questions regarding personal lines policies

Maintain and order as necessary, an inventory of general office supplies, letterhead, printer supplies, shipping supplies and various other office supplies.

Sort, scan, and deposit incoming checks to the correct bank account, differentiating the operating

Maintain a clean and organized office environment

Requirements:

Strong organizational and time management skills, along with a demonstrated attention to detail

Communicates and interacts professionally and effectively with all levels of management, employees, and clients; Must have strong interpersonal and communication skills; be solution focused and be a change agent for the organization
