Versar Global Solutions is seeking a full-time Office Manager. The Office Manager is responsible for overall front office activities, including the reception area, mail, directing and coordinating office services; providing administrative support and report writing to the executive leadership group; and providing support to the business development team with administrative proposal activities. What You’ll Do:
Administrative and Financial Management:Create and manage all documentation for DOT (Department of Transportation) monthly invoices, including logs and reports.Prepare expense reports and reconcile corporate credit cards.Submit documentation for vendor setup and process purchase requisitions (PRs) and purchase orders (POs).Invoice documentation into systems as required.Ensure timely and accurate subcontractor payments.Executive Support:Provide administrative support to executive leadership, including preparing reports, presentations, and newsletters.Coordinate schedules, arrange travel, and plan special events for executives.Manage the master filing system and ensure compliance with confidentiality standards.Office Operations:Supervise and maintain office equipment, facilities, and security, including housekeeping and layout optimization.Oversee distribution of keys, security access cards, and other resources.Ensure smooth operation of front office activities, including mail and reception services.Team and Training Support:Support new hire onboarding and monitor training completion.Maintain training records for compliance with DOT and other regulatory requirements.Assist with coordinating technical training and updating project organizational charts.Business Development Assistance:Support the preparation of administrative materials for proposals.Coordinate and document project information releases for client approval.Compliance and Special Projects:Ensure adherence to ethical standards and company policies.Participate in special department projects and cross-functional initiatives as needed.Perform all other duties as prescribed by management.Soft Skills:

3+ years of management experience in an office settingPossess and maintain a valid Driver’s LicenseExcellent written and verbal communication skillsProficiency in Microsoft Office Suite (Word, Excel, and Outlook)Have a high attention to detail and strong ability to multitaskAbility to take a professional approach when dealing with confidential informationAbility to carry up to 25 lbs. occasionallyAbility to walk, stand, or sit for extended periodsSuccessful results of preemployment screenings, including federal background check, MVR, and drug screenComply with company drug and alcohol policy.Be authorized to work in the US or will be authorized by the successful candidate’s start date.Proficiency in English communication, both written and verbal, is essential for performing the duties of this role effectively.Preferred Qualifications:
Associate's Degree in Business Administration, Communications or related fieldExperience in the Government (city, county, state, federal, etc.) contracting environment, construction, utilities, asset maintenance, property management, or other commercial or industrial environmentExperience with Department of Transportation, Expressway Authority, Turnpike, I-4 Ultimate, or other Roadway/Highway operationsExperience with public relationsBi-lingual Spanish speaker a plusLocation Requirements:
The position will primarily work onsite in Ocoee, FL.
Schedule:
Monday – Friday from 7:30 a.m. to 4:00 p.m.
Compensation
Expected Salary: $25/hr
