Overview
Join Heights Capital Management Asia (HCM) as Office Manager where you will join a small and growing team within one of the world’s largest financial services firms.You will support the office to ensure operational excellence for office administration and exceptional service delivery to employees and office visitors.This opportunity will allow you to leverage your strong organizational and time management skills as you will work directly with employees, contractors, and suppliers, sometimes across international time zones.You will manage accounts payable, travel, vendors relationships, and facilities administration as well as develop a broad knowledge of Susquehanna’s businesses.To be successful in this role, you must be able to prioritize tasks, delegate effectively, be people focused and have excellent communication skills in both English and Japanese.You thrive in a fast-paced, team-oriented environment, have experience in schedule coordination with attention to detail, and will demonstrate a commitment to HCM's values of transparency, continuous learning, and a pursuit of winning outcomes.

 

Key Responsibilities:

Ensure office is always in good working order (e.g. stationary available, printers stocked with paper, meeting rooms tidy and set for discussions)Answer all phone calls, and taking messages as appropriateAssist with all administration & office management tasks as requiredAct as primary liaison between Susquehanna and Building Management for all tenancy issuesOversee tenancy and facilities maintenance and repairs, including but not limited to IT and non-IT infrastructure (e.g. printers, blinds, lighting, HVAC, desks, chairs, kitchen appliances, etc):Manage employee onboarding and termination process in conjunction with HR and Payroll departments in SydneyAssistance with external/internal events as requiredManage and coordinate domestic and international deliveries and couriersCoordinate travel arrangements and accommodation for internal and external stakeholdersManage the accounts payable function, including entering invoices into payment systems and communicating with external vendorsOversee staff expense reporting and paymentLiaise with accounting team in Sydney on month-end process and reportingMaintain records of infrastructure assets, and liaise with accounting and purchasing as required
What we're looking for
Ideally 3+ years’ experience in professional office management, or related disciplineDemonstrates a customer service focusAbility to work autonomously and also collaborate within a small, tight knit teamExcellent oral, written, and telephone communication skillsExceptional attention to detailStrong time management and prioritisation skillsExperience in a start-up environment is preferred.
