Office Manager
Description We are actively seeking a highly organized Office Manager to lead a law firm operation in Lake Forest, Illinois. This person is responsible for coordinating various administrative, IT, Human Resources, and Financial operations to ensure smooth running of the firm. Responsibilities include and are not limited to: Business: + Handle BOI Reporting + Manage annual renewal mailings. Firm Administration: + Oversee malpractice insurance renewal. + Coordinate disciplinary supplement & ISBA mutual. + Administer PTO Policy & procedures for tracking and requests. + Update company handbook & 2025 holiday list. + Manage password safety, ST/LTD, and benefits. + Oversee Health Insurance renewals and payroll processing. + Provide advice on general HR issues. IT & Software: + Coordinate Clio renewal, case summary, docketing, document analysis, time entries, exiling, and expense entries. + Negotiate rates for credit card processing. + Oversee all matters related to SharePoint, laptops, docking station upgrades, discovery software, Kofax Enterprise, and more. Infrastructure / Vendor: + Oversee operations for FlexPrint, shredding service, AdNET renewal, and PTO tracking. + Maintain vendor invoice tracking, PTO Calendar, client intake tracking. + Participate in MFA conversation to Microsoft Authentication. People: + Manage the onboarding process for new staff. + Oversee KPIs/Metrics, mentorship, and performance plans. + Manage time tracking and project tracker for clerks. Financials: + Address open items from bookkeeping (W9s for 1099s, reconciliations, collections, etc). + Lead Clio payments management and follow-up collections. + Oversee credit card processing and income partner comp. Requirements Job Requirements: + Bachelor’s degree in Business Administration or any relevant field. + Proven experience as an Office Manager. + Excellent multitasking skills with the ability to prioritize tasks. + Excellent time management skills and ability to meet deadlines. + Strong verbal and writing skills. + Proficiency in Microsoft Office Suite.
