Office Manager
Description We are offering a short-term contract employment opportunity for an Office Manager in La Puente, California. Positioned in the construction industry, this role focuses on ensuring smooth daily office operations, providing support to project management teams, and maintaining administrative efficiency. Responsibilities: • Oversee the day-to-day office operations, including scheduling, correspondence, and filing to ensure a smooth workflow. • Assist in tracking project timelines, preparing reports, and maintaining documentation to support construction project managers. • Process invoices and manage accounts payable/receivable to ensure financial oversight. • Coordinate material orders, manage vendor relationships, and control inventory to ensure timely delivery and cost efficiency. • Maintain compliance with industry regulations by ensuring proper record-keeping, licenses, permits, and safety certifications are up-to-date. • Act as a liaison between office staff, construction teams, and external stakeholders to streamline communication and problem-solving. • Oversee onboarding of new employees, maintain personnel files, and coordinate safety training and meetings. • Utilize construction management and accounting software such as Procore, QuickBooks, or Buildertrend to enhance efficiency. • Serve as the point of contact for clients, addressing inquiries and maintaining detail-oriented relationships. • Handle customer credit applications accurately and efficiently and maintain accurate customer credit records. Requirements • Minimum of 7 years of experience in an office management role • Proficiency in Accounting Software Systems • Experience with ADP - Financial Services is required • Familiarity with Concur software is necessary • Knowledge and utilization of CRM tools is essential • Experience with Dentrix Dental Software is beneficial • Proficient in using About Time software • Thorough understanding of accounting functions • Experience in managing Accounts Payable (AP) • Experience in managing Accounts Receivable (AR) • Demonstrated ability in answering inbound calls effectively and professionally TalentMatch® ­Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
