Description
We are offering a contract to permanent employment opportunity for a Bilingual HR Assistant/Office Manager in Landenberg, Pennsylvania. The Office Manager will be primarily responsible for conducting onboarding and orientation for new employees, liaising with recruitment agencies, maintaining inventory, and assisting in the development and implementation of company policies and procedures.
Responsibilities:
• Facilitating the onboarding and orientation process for new employees, ensuring they are well-acquainted with company information, benefits, events, and procedures.
• Establishing and maintaining liaison with recruitment agencies for the purpose of hiring staff, which includes advertising positions, scheduling tours and interviews, and preparing employment offers.
• Managing the procurement of office and cleaning supplies, maintaining inventory levels, and ensuring the availability of necessary items across the organization.
• Assisting with the maintenance of up-to-date employee files and records, which includes the management of confidential documents and adherence to company policy regarding file retention.
• Assisting in the planning and execution of company events as a member of the Activities Committee.
• Contributing to the development of company policies and procedures and overseeing their implementation across the organization.
• Reviewing and updating job descriptions as necessary to ensure they accurately reflect the responsibilities and requirements of each role.
• Coding invoices and credit card statements to ensure accurate financial tracking and reporting.
• Coordinating and posting cleaning schedules for various company locations.
• Ensuring up-to-date requisite postings are displayed across both company locations, as well as any additional postings requested by managers.
Requirements
• Must possess a minimum of 2 years of experience as an Office Manager
• Proficient in Accounting Software Systems
• Experience with ADP - Financial Services is required
• Familiarity with Concur software is a must
• Proficiency in CRM software usage
• Experience with Dentrix Dental Software is necessary
• Knowledge of About Time software is required
• Must be skilled in various Accounting Functions
• Experience in handling Accounts Payable (AP) is necessary
• Must have experience in Answering Inbound Calls
