As we continue to expand, we need a vibrant Office Manager to keep our gears turning and ensure smooth operations.
The Office Manager/Executive Assistant will be responsible for a blend of administrative support, office management, and executive support. This position requires a professional who is organized, proactive, and able to handle both executive-level tasks and day-to-day office operations. Experience in Accounts Receivable and Collections is essential for this role.
Responsibilities
What You'll Do:
Executive Support: Provide administrative support to regional and branch leadership, including calendar management for business development efforts.Office Management: Oversee day-to-day office operations, ensuring the office runs smoothly and efficiently. Manage office supplies, vendor relations, and office maintenance.Accounts Receivable & Collections: Manage the accounts receivable process, including submitting invoices and pay applications, following up on overdue payments, and internal coordination with project teams. Work closely with clients to ensure timely collections.Project Coordination: Assist in coordinating internal projects, meetings, and events, ensuring smooth execution and adherence to deadlines.Financial Administration: Support basic accounting functions, including processing invoices, managing petty cash, and accounts payable invoice processing.Reporting & Documentation: Maintain and organize records, prepare reports, and track key metrics related to office operations and financial performance.
