Office Manager
Job Title: Office ManagerJob Description We are seeking a highly organized and proactive Office Manager to join our brand new office in (City), AZ. In this full-time role, you will provide facility and administrative support services, ensuring smooth operations and a well-maintained office environment. Responsibilities + Coordinate building maintenance and repairs. + Manage IT support and troubleshoot basic IT issues as needed. + Ensure all facility items are invoiced and paid on time. + Manage contract and price negotiations with office vendors, service providers, and office leases. + Serve as project manager for office renovations and expansions. + Manage company phone system and corresponding apps, including orders, replacements, assignments, and troubleshooting when necessary. + Ensure office equipment is in good working order, including troubleshooting and working with equipment vendors. + Ensure facilities are organized and orderly. + Plan and organize company events, fundraisers, community service opportunities, parties, etc. with assistance from administrative staff. + Order, track, and maintain office supplies (including branded apparel, gifts, and staff uniforms). + May be responsible for managing vehicle fleet: orders, maintenance, repairs, recalls, vehicle assignments, Samsara software, registrations, gas cards, etc. + May be responsible for managing/updating contractors' and business licenses. + May be responsible for managing/tracking employee certifications and clearances such as OSHA, lead, asbestos, NDOC, etc. + May be responsible for managing login setups, passwords, and password resets for employees. + May be responsible for supervision of administrative personnel. + Create and update files of various kinds; i.e. documents, spreadsheets, and databases. + Perform miscellaneous administrative support, as needed. + Promote the company safety culture and safety awareness throughout the company, projects, or office. + Exercise initiative or, as directed, perform additional duties to meet the needs of the organization. Essential Skills + 3+ years of office management experience + Proficiency in Microsoft Office programs + Ability to actively prioritize, lead, collaborate with, and function well within a team-oriented environment across multiple projects + Ability to perform work accurately and completely, and in a timely manner + Strong verbal and written communication skills + Ability to understand and implement best practice standards + Knowledge of organizational structure and available resources + Ability to quickly and effectively solve complex problems + Attention to detail + Ability to adapt to change and manage competing demands while maintaining high performance levels + Proactive and resourceful mindset + Ability to follow-up on inquiries in a timely manner + Ability to prioritize multiple projects + Proficiency in company-utilized software + Ability to build and maintain relationships with team members + Ability to supervise personnel and provide performance management feedback + Organizational and listening skills + Must be able to lift up to 25 pounds Additional Skills & Qualifications + Experience in the construction industry + Associate degree (AA) or equivalent from a two-year college or technical school Work Environment This full-time position is based in our new office located at 310 North Pasadena Street, (City), Arizona. The work schedule is Monday through Friday, with specific start and end times to be determined. The role involves frequent activities such as sitting, viewing, and typing on a computer screen, as well as occasional standing, walking, bending, and reaching above the shoulder. The position offers opportunities for growth within the company. Pay and Benefits The pay range for this position is $60000.00 - $70000.00/hr.
