What you will do: Supervise front desk employees, ensuring productivity, adherence to deadlines, and company standards, while managing rotating coverage schedules Develop and oversee the office budget, ensuring compliance and monitoring supplies, appliances, and inventory Manage conference room scheduling, event setup, and execution Handle incoming/outgoing mail, packages, and office equipment maintenance, including repairs Provide clerical support, including answering calls, sorting mail, preparing documents, managing office files, and maintaining inventory for efficient staff access Coordinate office decorations, corporate events, and video wall displays Provide basic IT support for meeting setups and minor PC/printer troubleshooting Ensure a safe work environment by supporting Environmental Health and Safety, inspecting office equipment, managing security access, and occasionally lifting office furniture Manage office security systems, including FOB access, intercom control, and vendor coordination Provide backup receptionist support, assist with stocking kitchen supplies, catering, and ordering office essentials Prepare and submit monthly expense reports while providing administrative support to senior staff Assist with special events, overtime needs, and maintain updated office procedures What you will bring: Associate or bachelor's degree in business administration, management, or a related field, with 3+ years of office management experience Strong customer service, problem-solving, and adaptability in dynamic environments Ability to work independently, prioritize tasks, and take initiative with minimal supervision Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and strong written/verbal communication skills Attention to detail to ensure accuracy in documentation Strong interpersonal skills for effective collaboration and maintaining confidentiality Quick problem identification and resolution skills Ability to sit for extended periods, work on a computer, and engage in frequent verbal communication via phone, virtual calls, and email Assist with occasional loading and relocation of office furniture (lift capacity ranging from 25 - 100 lbs)
