The Office Manager is responsible for overseeing daily office operations to maintain a well-organized, efficient, and safe workplace. Additionally, the Office Manager, under the supervision of the Senior Facilities Manager, will support office supply management, mailroom supervision, purchase request coordination, and general administrative duties. A Day In The Life Every day at Hubbell is different and you’ll contribute in many ways. On any given day, you’ll make a difference by: + Front Desk/ Reception Oversight- Ensure a welcoming and professional environment for employees & guests. Manage the Visitor Management System, check-in visitors, and provide appropriate badge access. + Office Supply/ Equipment Management- Oversee and maintain office equipment servicing. Monitor inventory levels, order office supplies, and coordinate procurement with vendors. + Mail Room- Receive, sort, and distribute all incoming and outgoing correspondence and packages efficiently. + Office related Purchase Requests/ Vendor Management- Create, track, and submit purchase requests. Collaborate with finance to ensure accurate and timely processing. + Building Maintenance Requests- Assist the Senior Facility Manager with facility-related tasks including coordinating maintenance activities, managing service contracts, and ensuring compliance with Hubbell Policies & Procedures. + Badge Access Management- Oversee employee badge distribution and manage access control systems for office. Ensure security procedures are followed. + Invoice Processing- Review and submit invoices for facility-related expenses, ensuring alignment with budget allocations. + Health and Safety Compliance- Support compliance with corporate safety policies and local regulations, assisting with audits and safety initiatives as needed. + Administrative Support- Provide general support to leadership and departments as required, including assisting site HR with office layout planning, office moves, and nametags. + Process Improvement- Identify opportunities for process and office management improvements, and design and implement new systems. + Maintain High-Level Integrity- Handle sensitive information to ensure security, integrity, and confidentiality of information What will help you thrive in this role? + High School Diploma or equivalent (Required); Associate’s or Bachelor’s degree in Business Administration or related field (Preferred) + Previous experience as an office manager or similar role (Preferred) + Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) or related software (Required) + Ability to prioritize work, meet deadlines, and multi-task in a fast-paced, dynamic environment + Excellent verbal and written communication skills with the ability to interact positively across all levels of the organization + Strong problem-solving skills and ability to anticipate office needs proactively + Excellent organizational skills, attention to detail, and time management skills + Ability to work well with minimal supervision + Experience with facility operations, security access systems, or vendor management (Preferred) + Ability to safely lift up to 25 lbs.
