Office professionals work in an outpatient, clinical setting and are responsible for daily reception duties such as fielding phone calls from patients, verifying insurance, collecting co-pays, and scheduling and re-scheduling appointments; assisting with posting to and collecting on patient accounts; and assisting with other administrative duties as assigned.
Primary Job Functions:
Greets all patients and visitorsHave patients sign inAnswers telephoneReceives patient requests for appointments/information and changes.Records all telephone messages accurately and transfers to appropriate person timelyHandles routine requests from cliniciansKeys in no shows dailyDirects patients to appropriate waiting areaHandles unscheduled patients.Notifies appropriate clinician of patient’s arrivalSchedules return appointments.Reviews clinician’s schedule and assigns appointment timeGives patient appointment card with next scheduled appointmentProtects and maintains the confidentiality of all records and patient information.May perform Quality Assurance ProcessCompletes administrative review audits as necessaryMakes copies, faxes documents and performs other related clerical duties as neededAdheres to 5 Star Customer Service guidelines when dealing with Team Leader, co-workers and patients.Verifies insuranceCollects co-payments and posts payments to patients accountGenerates the patient receipt for payments taken.Prepares deposits to be taken to Finance and Accounting.Coordinate appropriate services for patients in CrisisMay provide relief for other staff membersAssists with and works with all organization personnel involved with any aspect of release of protected health information to ensure full coordination and cooperation under the organization’s policies and procedures and legal requirementsManages Telehealth Visits and obtain electronic forms submissions and electronic verification of ID and InsuranceManages office patient flow for patients with different visit typesSeeks supervision and consultation as neededAccepts and employs suggestions for improvementActively works to enhance skillsTreats patients with care, dignity and compassionRespects patients’ privacy and confidentialityWorks in a cooperative manner with other AltaPointe employeesAssists patients and visitors as neededPersonal values don’t inhibit ability to relate and care for othersIs sensitive to the patient’s needs, expectations and individual differencesIs gentle and calm with patients, families, and others as appropriateActively participates in Performance Improvement activities.Actively participates in AltaPointe committees as required.Completes assigned tasks in a timely manner.Follows AltaPointe policies and procedures.Attends appropriate in-service training and other work- shops offered by AltaPointe.Adheres to professional code of ethics
Knowledge in topics, outlined below, to be attained within (6) six months of employment:
General knowledge of office proceduresGeneral knowledge of family medicineGeneral knowledge of psychiatric disorders in the adult population.Knowledge of medical terminology especially those terms associated with family medicineKnowledge of crisis interventionKnowledge of utilizing electronic health record and practice management systemKnowledge of cultural diversityPhysical Requirements of the Job:
There is occasional standing and walking which are in bursts of 5-10 minutes.Sitting is constant at the front desk during the shift.Frequently lift 3-5 pounds to handle patient charts throughout the day, and usually not handling more than 2-3 charts at a time.Light grasp is needed while handling patient charts and to open doors, done frequently.Fine manipulation and dexterity to handle paperwork in charts, writing, computer keyboarding and/or entry, mouse usage, phone usage, and using key pad on security door is frequent.Any other duties that are assigned by supervisor. QualificationsMinimum Requirements
High School graduate or the equivalent. Must have the ability to communicate verbally, withstand frequent deadlines, concentrate and maintain accuracy in spite of frequent interruptions.Proficiency in ExcelAbility to problem solve and carry out task independentlyPreferred experience in medical practices to include outpatient best practices, coding and billing Proficient with computer applications including Microsoft Office Suite, EMR and medical billing softwareKnowledge of HIPAA.
