Office Services Associate
Description We are offering a short term contract employment opportunity for an Office Services Associate in Menlo Park, California. This role is primarily focused on providing back office services to our client and teams. The primary function of this role is to support various office services in both physical and digital environments. This includes reprographics copy and mail services, along with support for services in hospitality facilities, audio/visual reception, and other service lines as needed. Responsibilities: • Accurately process and log all office services work • Prioritize workflow and complete all projects in a timely manner • Maintain client satisfaction through professional telephone and email etiquette • Troubleshoot basic equipment problems and place service calls when needed • Interact with clients in person, over the phone, or electronically • Adhere to policies in addition to client site policies • Perform work in office services primarily reprographics, mail, and intake functions according to established procedures • Load machines with various paper and toner supplies • Handle sensitive and/or confidential documents and information • Communicate with supervisor or client on job or deadline issues • Perform quality assurance on own work and work of others Requirements • Proven experience in customer service and office functions • Strong understanding of operations, procedures, and policy • Experience in answering inbound calls and supervising a team • Knowledge of hiring processes and ability to troubleshoot issues • Proficiency in scanning documents and performing receptionist duties • Skilled in digital communication and maintaining logs • Familiarity with office machinery and paper management • Experience in quality assurance and the ability to distribute faxes • Willingness to work overtime when necessary • Skilled in handling service calls and managing confidential documents • Strong understanding of office perks and their administration • Ability to maintain facilities and ensure their smooth operation • Exceptional organizational skills and attention to detail • Excellent verbal and written communication skills • Ability to multitask and prioritize tasks effectively • Strong interpersonal skills and ability to work in a team • Proficiency in MS Office Suite and other relevant software • High level of professionalism and ability to handle sensitive information with discretion • Strong problem-solving skills and ability to think on feet • Dedication to continuous learning and improvement.
