Office Services Associate
Description We are seeking an Office Services Associate based in San Francisco, California. The role involves providing back-office services for our team and clients, and ensuring the smooth operation of our offices. This role is a short-term contract employment opportunity. Responsibilities: • Answer and transfer calls on a multi-line phone system, ensuring efficient and professional communication. • Accept, sort, and distribute incoming mail and deliveries, maintaining smooth operations in the office. • Handle additional projects as assigned, showcasing your ability to multitask and manage your time effectively. • Safeguard sensitive and/or confidential documents and information, demonstrating your trustworthiness and integrity. • Communicate effectively with managers and clients on job or deadline issues, maintaining a clear and open line of communication. • Set up and breakdown conference rooms, ensuring they are ready for meetings and functions. • Maintain cleanliness and order in the office, including running the dishwasher and tidying up common areas. • Monitor and replenish supplies in kitchens and order supplies for meetings, ensuring the office is well-stocked and prepared. • Handle receptionist and administrative assistant duties as needed, providing excellent customer service and support. • Use your strong verbal and written communication skills to effectively interact with team members and clients. Requirements • Must possess strong customer service skills • Proficient in performing office functions and operations • Knowledgeable about office policies and procedures • Capable of answering inbound calls professionally • Experience in supervising staff or teams • Familiarity with hiring processes • Proficient in scanning documents and maintaining logs • Experience in receptionist duties is preferred • Able to troubleshoot issues related to office machinery • Knowledge of facility management is a plus • Strong digital and written communication skills • Ability to answer queries and distribute faxes efficiently • Experience with multi-line phone systems • Familiarity with quality assurance processes • Capable of handling deliveries and maintaining supply of office paper • Must demonstrate excellent organizational skills and attention to detail.
