Responsibilities: • Accurately process and maintain logs for all office services work. • Handle customer inquiries in a detail oriented and timely manner, through phone or email. • Ensure the proper execution of reprographics, mail, and intake functions. • Prioritize and manage workflow to meet deadlines and complete all projects in a timely manner. • Troubleshoot basic office equipment problems and place service calls when necessary. • Maintain a high level of customer service to create, maintain, and enhance customer relationships. • Adhere to established policies while making independent decisions that conform to business needs. • Load machines with various paper supplies and monitor usage to ensure cost-efficient use of resources. • Handle sensitive and/or confidential documents and information with utmost discretion. • Perform quality assurance on own work and the work of others, ensuring accuracy and efficiency. • Support other service lines as needed, such as reception and hospitality facilities. Requirements • Proficiency in Customer Service, demonstrating excellent interpersonal skills and the ability to handle client queries effectively. • Familiarity with basic Office Functions and Operations, capable of managing day-to-day administrative tasks. • Understanding of Procedures and Policies, ensuring compliance with organizational standards. • Experience in Answering Inbound Calls, providing prompt and courteous service. • Ability to Supervise team members, promoting a collaborative and productive work environment. • Knowledge of the software 'About Time' for effective time and attendance management. • Familiarity with Hiring Processes, capable of assisting in recruitment and onboarding tasks. • Proficiency in Scanning and handling Receptionist Duties, managing front desk operations efficiently. • Ability to Troubleshoot common office issues, demonstrating problem-solving skills. • Experience in Facility management, ensuring a safe and comfortable workplace. • Proficiency in Digital tools and platforms, adapting to new technologies quickly. • Excellent Communication Skills, both written and verbal. • Experience in Scanning Documents and maintaining proper documentation. • Ability to Maintain Logs, ensuring accurate record-keeping. • Familiarity with Machinery and Paper handling, ensuring smooth office operations. • Ability to perform Quality Assurance checks, ensuring all tasks are completed to the highest standard. • Experience in Distributing Faxes, managing internal and external communications. • Willingness to work Overtime when required, demonstrating flexibility and dedication. • Ability to handle Service Calls, providing timely and effective solutions. • Experience in handling Confidential Documents, ensuring privacy and security. • Knowledge of workplace Perks and benefits, promoting a positive company culture.
