Description We are offering a short-term contract employment opportunity for an Office Services Associate in Austin, Texas. The primary function of this role is to provide back office services in various capacities, including reprographics, mail and hospitality services, among others. The position will also require interaction with a diverse range of internal and external stakeholders.
Responsibilities:
• Ensure accurate logging of all office services work
• Prioritize workflow to meet deadlines and deliver all work in a timely manner
• Perform tasks in office services, primarily reprographics, mail, and intake functions, in accordance with established procedures
• Handle sensitive and/or confidential documents and information with discretion
• Troubleshoot basic equipment problems and place service calls when needed
• Maintain good communication with supervisor or client regarding job or deadline issues
• Perform quality assurance checks on own work and that of others
• Load machines with necessary paper, toner supplies, and perform regular maintenance
• Utilize Microsoft Office Suite for various tasks
• Provide excellent customer service to maintain and enhance client relationships
• Answer telephone and emails in a detail oriented manner
• Use independent judgment to make decisions that align with business needs and policy
• Operate within a fast-paced environment, demonstrating a positive and can-do attitude. Requirements • Demonstrated experience in Customer Service
• Comprehensive understanding of Office Functions
• Proficiency in Operations management
• Familiarity with Procedures and Policy implementation
• Ability to handle Answering Inbound Calls
• Experience in Supervising team members
• Knowledge of About Time software or similar applications
• Proficiency in Hiring Processes
• Skilled in Scanning and managing documents
• Experience in Receptionist Duties
• Ability to Troubleshoot technical issues
• Knowledge of Facility management
• Proficient in Digital tools and platforms
• Excellent Communication Skills
• Experience in Scanning Documents
• Ability to Maintain Logs and records
• Familiarity with Machinery used in office settings
• Proficiency in Microsoft Office Suites
• Knowledge of Paper management and archival techniques
• Background in Quality Assurance
• Ability to Distribute Faxes efficiently
• Willingness to work Overtime if required
• Experience handling Service Calls
• Ability to manage Confidential Documents with discretion
