Overview
What we're looking for
The position of the soft services co-ordinator will form part of the SIG Facilities Team and report to the facilities manager. This role is responsible for delivering duties across a diverse range of office services.
Job Duties
Manage all elements of soft services (cleaning, catering, security, waste, landscaping, etc.) including setting out work schedules, maintaining EH&S information, financial analysis, quality control and vendor management.To co-ordinate soft service PMs with the facilities team and other areas on the business. Deliver the services in accordance with the yearly plan.To ensure regular maintenance of all meeting and interview rooms, training rooms and visitor areas.Assist in procurement of services by developing RFP, writing SLAs and periodically measuring KPIs for the services provided.To manage multiple projects at the same time. To take ownership of churn/move projects and undertake space planning exercises.Operate the facilities helpdesk function, ensuring all requests are actioned appropriately. To produce analysis trend maps.To control all office stationary and other provisions as necessary.Coordinate all site activities in the workplace in accordance with safety procedures. To provide regular cover at front of house reception.Manage all activities associated with the staff fitness centre.
What we're looking for
Minimum of 3 years of relevant Soft or Office Services Management with Reception Front of House experience and an appetite for developing in this challenging and exciting role.This individual should be a self-starter and be able to work on their own initiative. Must have willingness and flexibility to roll-up sleeves and assist with any task that may come up.Ability to multi-task and efficiently manage multiple projects/initiatives at the same time.Excellent customer service and dedication to enhancing the workplace for staff and visitors alike. Demonstrate friendly and effective communication and people interfacing skills.A clear desire to achieve excellence in their work and demonstrate attention to detail and continuously look for improvements and service initiatives.Must have excellent computer skills (MS Office Suite and experience with other internal ordering systems). Experience with ACAD would be desirable but not essential.Should be familiar working with CAFM software.Ability to bring new ideas and innovations to the workplace environment.Should hold IOSH or similar safety training qualifications.
