The Job Details: Working closely with the General Manager and the local USCS management team, the Office Supervisor provides primary leadership to the efficient execution of all administrative functions of the warehouse facility. This individual will consistently contribute to USCS’s key performance areas, including sales, customer satisfaction, cost controls, productivity, reporting accuracy, safety, and human resources. Focused on continuous improvement, this position oversees and/or contributes to the planning, development and implementation of all office procedures and activities required to meet customer and administrative support requirements, striving to exceed USCS’s facility and Company goals. Duties and Responsibilities include the following:
Customer Service
• Responsible for the integrity of the WMS customer inventory and that all shipments and deliveries are documented according to requirements.
• Lead the USCS administrative staff in meeting customer service requirements, in building good customer relationships, and ensuring that all requests are responded to in the highest professional manner.
• While monitoring service levels, the office supervisor would advise facility management of recommended preventative and corrective action
• Provide administrative support to warehouse operations as needed, including but not limited to timely and accurate processing of inbound and outbound activity and providing timely communication in all customer requirements.
• Work with warehouse operations to monitor assigned inventory control functions, including product rotation and recall, customer and carrier claims, reporting, customer requests, and record keeping.
• Within the customer service department, continuously review customer requirements, processes and administrative practices to keep up with the ever changing need.
• Back up for any of the customer service representatives and the receptionist.
• Responsible for all aspects of the facility revenue cycle: rating documentation and required process implementation, WMS setup, transaction record keeping, billing and collections. Billing and revenue tracking would include normal warehousing services as well as value added services, to ensure that all customer services are tracked and charged accordingly. All monies received at the site should be accounted for and balanced in a timely manner.
• Responsible for all facility month end reporting requirements, in addition to customer month end reporting.
General Office
• Provide hands-on oversight to the training and development of the office team, including customer service personnel, receptionist and other administrative staff as assigned.
• Researches and develops resources that create timely and efficient workflow.
• Work closely with Company IT personnel to maximize utilization of all USCS office operating systems, making recommendations for improvement.
• Coordinates activities with corporate IT department and local IT staff on all functions related to computer department.
• Refers major hardware problems to service personnel for correction
• Monitor the purchasing and utilization of office supplies and equipment, making recommendations to the Manager for operational and capital improvements.
• Maintains liability insurance records on contract vendors.
• Maintains petty cash.
• Assists with preparation of facility budget.
• Assists with any and all special projects, as required
