Job Summary:
Provides day-to-day oversight of office operations and staff. Point person for all requests, researches a variety of information and responds accordingly. Prepares reports and presentations. Responsible for ensuring patient satisfaction and employee satisfaction by resolving or directing issues appropriately. Assign and monitor clerical and administrative responsibilities for the front desk staff. Provide orientation and training to new employees.
Position Responsibilities
Responsible for managing, hiring and retention of office staff, including training, coaching and development and ensuring that all staff members are performing to procedure and STAR standards. Coordinates and monitor work flow. Ensure that results are measured against standards, while making necessary changes along the way.
Responsible for smooth day-to-day operation of the administrative offices. Maintains office services by organizing office operations and procedures; preparing payroll; correspondence; reviewing and submitting supply requisitions. Troubleshoot problems and resolve issues. Coordinate department events and administratively support special projects.
Reviews Patient Satisfaction results and supports all departments by taking appropriate action to improve results. Participate in leadership rounding and act as a liaison between office personnel, Virtua and all external parties to ensure an outstanding patient experience. Manage and involve teams in employee engagement initiatives.
Organize and schedule meetings and appointments. Manage schedules, calendars and appointments. Handle customer inquiries and complaints. Manage internal staff relations. Maintain a safe and secure working environment by daily rounding.
Required Experience:
2+ years of Supervisory experience required.
Computer user proficiency (Excel-Word-Power Point – Outlook – Internet).
Excellent Communication skills (verbal-written-listening) in order to interact with employees at all levels and external clientele.
Advanced organizational skills – ability to work pro-actively with changing priorities.
Working knowledge of organization policies and procedures or ability to quickly learn and operate within those parameters.
Required Education:
High School diploma required. Associate degree preferred.
