DWSD does not honor reversion rights for internal candidates. The Office Support Specialist serves as a crucial member of the DWSD team, acting as an assistant to the head of a unit. This position plans, organizes, manages, and performs a variety of business operations and general and specialized administrative activities, including, but not limited to: Examples of Duties + Reception Duties: + Greet and triage customers as they enter the service center. + Identify if customers have appointments or if their inquiries can be accommodated as walk-ins. + Direct customers on how to receive assistance effectively. + Assist customers with minor inquiries and provide information on services. + Administrative Support: + Answer multiline phones and manage information requests. + Prepare correspondences and reports, perform data entry, and maintain recordkeeping systems. + Scan, upload, and manage documents in the repository to ensure proper documentation and accessibility. + Schedule appointments and make outbound calls to customers as needed. + Business Operations: + Organize and maintain office inventories and supplies. + Conduct investigations, analyses, and evaluations for the assigned unit. Examples of Duties: + Manage and operate office equipment efficiently. + Communicate effectively with departmental staff, customers, and vendors. + Analyze information and compile data to assist in decision-making. + Prepare and audit complex documents, ensuring compliance with departmental standards. + Maintain filing, inventory, mailing, and database systems. + Independently analyze issues to determine the proper method for resolution. + Attend and take notes at meetings, providing support in team activities. + Assist departmental staff in the completion of complex tasks. Required Knowledge, Skills, and Abilities: Knowledge Of: + Routine and complex clerical operations and office dynamics. + Data management systems and basic business and statistical concepts. + Job-specific tasks, processes, and departmental policies. Skill To: + Type, enter data, and file efficiently. + Manage office inventories and supplies. + Operate office equipment and advanced technology. + Interact well with customers and team members. Ability To: + Understand and follow verbal and written instructions. + Communicate effectively, both verbally and in writing. + Establish and maintain effective working relationships with others. + Effectively utilize appropriate security and safety equipment and procedures. + Maintain regular and reliable attendance. + Work effectively in a team-based, flexible environment with minimal supervision. + Identify system errors and make corrections as necessary. Minimum Qualifications Minimum Qualifications: + High School Diploma or GED. + Minimum of three (3) years of office or administrative support experience, preferably in a municipal or public utility work environment.
