Field telephone calls and refer callers to the correct contacts within DEQ. Greet visitors and monitor public access to the DEQ Lander Field Office. Receives, analyzes, and responds to requests for information. Human Resource Contact:DEQ HRdeq.hr@wyo.gov ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level. + Performs specialized tasks and coordinates general office functions such as administrative, property management, travel arrangements, procurement, personnel, information systems, or fiscal duties and provides training to staff. + Performs administrative duties requiring considerable judgment, which may involve fiscal, human resources, or other specific program areas. + As needed, coordinates activities with administrative staff in the DEQ Headquarters office and other DEQ Field Offices. + Responsible for inventory and purchasing of office supplies and assets. + Field telephone calls and refer callers to the correct contacts within DEQ and government agencies statewide. + Performs a variety of tasks associated with the management, implementation, evaluation, and retention of correspondence and documents for a large and complex records system across multiple Divisions. + Gives technical assistance, advice, and information to agency personnel, the public, and state and federal agencies regarding governmental and confidential records and data. + Gives and receives information requiring some judgment or discretion regarding the current and specific business of the work unit, by telephone or by direct personal contact. + Identifies, manages, and protects the integrity of all state records regardless of media or creation for the Department and the public. + Assists in internal and external record requests. + Resolves some light computer issues or concerns. + Greets, and screens visitors to determine how to meet their needs. + Other duties as assigned. Qualifications KNOWLEDGE: + Strong organizational and time management skills to manage multiple projects and systems at a very high level of detail. + Ability to learn, develop, and apply detailed procedures related to highly regulated programs and processes. + Strong communication skills with an emphasis on providing excellent customer service. + Pleasant and professional manner to interact and respond to staff, other agencies, and the public in person, by email, and by phone. + Ability to share responsibilities in a team environment with coworkers, providing support for absences, workload issues, and vacancies. + Ability to work collaboratively with coworkers to address new and changing demands on the organization. + Knowledge of word processing, database, and spreadsheet software to manipulate and create documents, tables, mailings, and reports. Comfortable and competent with the use of databases for electronic tracking and email systems. + Ability to prioritize multiple and diverse projects, responsibilities, and deadlines. + Ability to develop, organize, and maintain filing and archiving systems to meet regulatory and policy requirements. + Knowledge of records processing and maintenance procedures and systems, including electronic systems. + Detail-oriented with strong proofreading skills. + Ability to review the written work of others for clarity and completeness. + Ability to remain calm and professional when dealing with angry or upset individuals. + Ability to perform assigned duties and apply program procedures and policies with minimal supervision. + Knowledge of administrative, clerical, and filing procedures, including electronic procedures. + Ability to learn and apply department and state government procurement methods and procedures. + Knowledge of financial record keeping and reporting principles and procedures, basic accounts payable, and purchasing. + Skill in Microsoft Word, Excel, Google Apps, and SharePoint.
