Onboarding Specialist:

Our Talent Management team, working collaboratively with our Talent Acquisition team, strives to create superior experiences for our new hires and hiring managers in a variety of ways and our Onboarding Specialist is key to that service. You’ll be the initial face of the company helping our new hires acclimatize to their new job. The person in this role is ready to work hard, pays attention to the small details, and has the creative ingenuity to introduce our company and brands to newly acquired talent, striving to increase retention and engagement across the organization. Our Onboarding Specialist will focus on all aspects of the onboarding process to ensure a smooth and positive experience for new hires and hiring managers across different platforms and support our HR team with other events and projects.


What you will do:

Design and implement a standard orientation program that encompasses all brands, adding speakers, Executive Leadership, and new content to further build out the first day welcome and presentation.Collaborate with the Director, Total Rewards to introduce and implement a benefits-only orientation for each specific brand, determining where it fits best in the onboarding schedule.Provide a positive, high-touch new hire experience for both candidates, transferring employees, and hiring managers, creating solutions that accommodate diverse hiring needs and programs to drive retention, engagement and efficiency.Facilitate and manage the onboarding process from beginning to end, creating a lasting impression of the company, which includes designing and maintaining the onboarding program in an online system (i.e., the Applicant Tracking System), the new hire SharePoint site, and all communication templates and company materials.Manage the new hire process once the candidate has completed their pre-hire steps with a seamless handoff from the Candidate Experience Specialist (CES).Manage logistics for new hires, including equipment ordering and communication to both candidates and hiring managers. Ensure all necessary departments are notified and aware of new hires and any internally transferring employees.Partner closely with the hiring manager to ensure the plan is in place for a new hire’s first day, first week, and initial 30 days.Facilitate orientation for new hires, sharing company history, benefits, and policies.Identify and purchase Welcome Kits and branded material for new hires, getting them excited about their new role and company, and promoting social media engagement.Continually evaluate the onboarding program, adding and improving as needed to ensure all new hires and hiring managers are receiving a best-in-class experiences.Establish a buddy program through education and support, ensuring that buddies are matched, and the program is beneficial to all parties.  Working closely with the Learning and Development team, help that team introduce a mentoring program that partners leaders with recently hired high-potential team members to provide professional development and coaching, leading to internal pipelines for promotional growth.   Work closely with parties outside of Human Resources as well as the Talent Acquisition team to field and resolve questions and issues.Interface comfortably with hiring managers and senior-level leaders.Stay up to date on industry trends and best practices in onboarding, continually refining or adding improvements to our company’s onboarding program.Work across all brands to create a consistent and matched experience.Create check-ins and touch points and activities for new hires and hiring managers throughout the first year of an employee’s lifecycle, examples include Cookie Wednesday, Scavenger Hunt, and formal networking events.  Facilitate new franchisee training to educate owners on the best practices within the recruiting and onboarding space. Work closely with and collaboratively with the Director of Talent Acquisition and the Talent Acquisition team on matters and projects that bridge between Talent Acquisition and Talent Management. Crosstrain on the basic responsibilities and deliverables performed by the CES and as necessary from time to time, provide backup support to the CES, e.g., during CES paid time off and sick leave.   

 

What you will bring: 

Exceptional attention to detail and organizational skills.Excellent interpersonal skills as you work with diverse groups of people at various levels throughout the company.Outstanding communicator both verbally and written, with the ability to write and story-tell, as well as present in front of groups.Ability to work independently as well as part of a team, who enjoys collaborating and partnering together.Must possess a positive attitude with the ability to build strong relationships across the organization and with external partners.Proficiency with Microsoft Office (primarily Word and PowerPoint).Excellent time and project management skills. Willingness to assist with other HR-related projects as needed. Creative talent to build programs that are engaging, productive, and effective. Bachelor’s degree or equivalent work experience required.A minimum of 5 years working in a corporate-based Human Resource department within a related talent acquisition, onboarding, talent development or employee engagement position.Proven presentation skills with the ability to engage others.Successful track record of introducing and managing onboarding and/or other related talent development programs company wide.
