ONSITE Patient Access Trainee

Description:POSITION PURPOSE

Under the direction of the Manager of Patient Access, the Patient Access Representative Trainee (PAR-T) colleague is an entry level registrar / greeter responsible for initial patient intake, facilitation of patient throughput, waiting room management, data entry of demographic and insurance information and basic registration duties. Participates in educational opportunities as assigned by the Manager. The Patient Access Representative Trainee learning period is twelve (12) months or less (needs to demonstrate ability to meet performance expectations) with the career opportunity to a Patient Access Representative I level upon completion.

ESSENTIAL FUNCTIONS

1.    Knows, understands, incorporates and disseminates the Trinity Health Mission, Vision and Values in behaviors, practices and decisions.

2.    Greets  patients, families and visitors and determines the nature of their visit.

3.    Assists with wayfinding by directing people to the hospital location they need.

4.    Identifies and selects the correct medical record number for patients already listed in the hospital database (Master patient index) or creates a new medical record number for unlisted/new patients. Validates and enters patient demographic information and primary care physician information into the hospital information system. Reviews information for accuracy.

5.    Answers and transfers incoming calls.

6.    Answers basic customer inquiries and refers more extensive inquiries to the appropriate person.

7.    Maintains organization of common areas such as patient waiting rooms.

8.    Enters patient into patient tracking system; distributes patient information according to hospital policy and compliance regulations. Obtains State issued photo ID.

9.    Explains and obtains legal signatures from the patient or legal guardian on consents for treatment, level of care/status change as required by Federal and State law and payments.

10.    Scans all consents, cards, scripts into document imaging system. Bands patient with wristband  per department policy.

11.    Provides administrative support to the Patient Access teams to manage and execute day-to-day tasks such as basic registration and related duties such as time of service cash collection, as needed.

12.    Serves as clerical back-up.

13.    Actively participates in Patient Access educational opportunities for registration, insurance verification, financial clearance, point of service cash collections.

14.    Performs other duties as needed and assigned by the manager.

15.    Maintains a working knowledge of applicable Federal, State and local laws and regulations, Trinity Health’s Integrity and Compliance Program and Code of Conduct, as well as other policies and procedures in order to ensure adherence in a manner that reflects honest, ethical and professional behavior.

MINIMUM QUALIFICATIONS

1.    High school graduate or equivalent GED required.

2.    Experience working in hospital registration and / or physician office front desk strongly preferred. 

3.    Knowledge of Medical terminology required.

4.    Proficient computer and typing skills; attention to detail. 

5.    Strong work ethic and capacity to thrive in a team environment. 

6.    Effective written and verbal communication skills. 

7.    Customer service experience. 

8.    Ability to multi-task, prioritize needs to meet required timelines. 

9.    NAHAM CHAA or HFMA CRCR certification required within one (1) year of hire. 

10.    Willingness to learn other registration related tasks and functions in or outside of the outpatient registration department to ensure operational demands are met.


PHYSICAL AND MENTAL REQUIREMENTS AND WORKING CONDITIONS

1.    In a normal workday, colleague must be able to sit and walk up to seven hours a day.

2.    Job requires occasional lifting/carrying approximately 15 pounds and / or pushing patients in wheelchair up to 440 pounds.

3.    Job requires use of hands for repetitive actions, fine manipulations, and simple grasping.

4.    Must be able to see at a near visual acuity.

5.    Must be able to speak.

6.    Must be able to hear speech.

7.    Must possess the ability to comply with Trinity Health policies and procedures.
