Operating Support Specialist

PSE's Corporate Shared Services team is looking for qualified candidates to fill an open Operating Support Specialist position!

Job Description

Provides support services included but not limited to time administration, work management, accounting practices, records documentation, operations and administrative responsibilities as defined by the overall function of a business unit. Works independently and is knowledgeable of organizational business needs and interaction with departments company-wide, coordinating internally and externally to facilitate work flow.

Job Responsibilities Perform time administration requiring an understanding of FERC Account Coding Standards, corporate policies, as well as Labor contracts. Process time corrections and assist personnel with reconciliation of pay discrepancies. Process invoices using Company systems and procedures. May involve determining proper method of processing, researching and resolving discrepancies and assisting the Accounting Dept. as required. Prepare journal entries and other accounting reconciliations as required. Perform accounting and recordkeeping tasks which may include petty cash custodian and/or reconciliation of P-card statements. Process purchase documents for materials and services using Company systems and procedures. May include initiation of purchase requisitions; release of purchase documents; research of receipts for incoming stores material; resolve receiving exceptions and rejections. Perform record-keeping and filing tasks in support of operations in compliance with State and Federal regulations and Company standards and policies. Generate, process, validate and complete service orders, work orders and damage claim packages using Company systems and procedures. May involve internal and external workgroups and include "confirmations" of capitalized material for new installations and removals of units of property. Initiate and process applications for permits (right-of-way, road bore, etc.) inspections, and paving requests as required. Perform office tasks such as but not limited to collecting, analyzing and preparing forms and reports, performing administrative and reception services, maintaining files, maintaining supplies inventory and initiate facilities maintenance and security measures as necessary, sorting and distributing mail. Operate computers and office equipment. May also operate communication radios and drive vehicles. May provide training or mentoring as appropriate and applicable to the tasks above. Perform similar and incidental duties as assigned. Minimum Qualifications

Education: Previous minimum education and training should include successful completion of high school studies or GED certification as well as two quarters of higher education in accounting, bookkeeping, business applications, communications, drafting, or its equivalent in experience and/or education as determined by the hiring Manager.

 

Demonstrated proficiency at touch typing required.

 

Experience: Previous job experience should include the equivalent of one to two years of office experience with demonstrated ability to communicate effectively and multi-task despite frequent interruptions. Must possess the ability to research resources and precedents to perform varied tasks with minimum guidance. Must be self-motivated to perform under limited supervision.

 

Approximately two years on the job are required before all the position's duties and responsibilities are performed without day-to-day assistance.

 

Responsibility: The position is responsible for performing accounting, administrative duties and supporting the business operations with an emphasis on data integrity while meeting multiple deadlines. Specific duties and responsibilities are outlined above.

 

The position may be responsible for advising, training and/or mentoring other employees to facilitate coordination of workflow.

 

Complies with all State and Federal regulations as well as Company policies, practices and procedures as applicable to the job.

 

 

Additional Information

Supervision: The position is not responsible for supervising other persons

External Contacts: The position is in contact with contractors, public agencies, service centers, business offices and other persons outside the department and Company to gather, provide and explain information.

 

Job Conditions and Physical Efforts: The duties and responsibilities are performed primarily in an office environment and may include time spent in an outdoor and/or operational environment. The position involves sitting, standing, walking, lifting, bending, reaching, kneeling, climbing, keyboarding and operation of office equipment.

 

The environmental conditions include ambient temperature, lighting and noise levels.

 

May require irregular work schedule, overtime hours and availability for emergency response as required.

 

A valid Washington State Driver's License may be required.

The pay range for this position is $29.92 - $39.37, and this position is eligible for annual goals based incentive bonuses.
